We are a group of specialist periodontal practices dedicated to providing expert care with a patient-first approach. Our Neutral Bay practice is looking for a warm, organised, and detail-oriented Administrative Assistant & Patient Care Coordinator to take the lead in patient care and practice administration.
This full-time role is a blend of patient interaction, administration, and multi-practice support —without the intensity of back-to-back patient days. We only see patients two days per week in Neutral Bay, allowing dedicated time for administrative duties in a structured and well-paced environment.

Key Responsibilities
Front Desk & Patient Care Coordination (Neutral Bay Practice)
- Welcome patients, manage check-in and check-out, and handle appointment scheduling
- Assist patients with enquiries in a professional and friendly manner
- Prepare for patient procedures, including organising consents, referrals, and pre-op documentation
- Process payments and discuss treatment costs with clarity and professionalism
Administrative Support Across the Specialist Practice Group
- Answer incoming calls and respond to online enquiries for multiple locations
- Assist with patient report writing and general administrative duties
- Work closely with the broader team to ensure smooth communication across practices
While this role is well-structured, there will be times when the ability to work under pressure and manage competing priorities will be essential. A calm and solutions-focused mindset is key.
About You
- Experience in a dental or medical practice is preferred but not essential
- Experience with Dental 4 Windows is an advantage
- Strong communication and customer service skills
- Highly organised with attention to detail
- Comfortable using practice management software and MYOB, or willing to learn
- Ability to work efficiently under pressure while maintaining a professional and supportive approach
- A proactive and adaptable team player who enjoys a dynamic work environment
