About the Chief Clinical Advisory Division:
The Chief Clinical Advisor division of the Commission protects and enhances the safety, health and well-being and quality of life of people receiving aged care by driving a higher standard of clinical rigour across the aged care sector. The Clinical Unit forms part of the Chief Clinical Advisory Division and provides clinical advice and support to Aged Care Quality and Safety Commission (Commission) staff to assist them in understanding and interpreting clinical information, identifying, and responding to clinical risk and making regulatory decisions.
About the Role:
The role of the Clinical Unit Program Support Officer is to provide administrative support to the Director, Clinical Unit and wider Clinical Unit team as part of the teams' support service operations. They will also support other members of Chief Clinical Advisor Division (CCAD) as required.
The key duties of the position include
- Providing administrative support to the Director, Clinical Unit and as required CCAD Senior Directors including managing stakeholder requirements and expectations, room bookings and other support needed for meetings, including agenda finalisation, minute taking and scribe duties as required.
- In assisting with the management of the Director, Clinical Unit emails and calendar, make them aware of conflicts/ clashes in schedules. Alert them to urgent emails that require a timely response and that requests for urgent information and correspondence are actioned in their absence using initiative and discretion to prioritise and action under limited guidance
- Assisting the Director, Clinical Unit and as required CCAD Senior Directors to prepare for meetings and appointments by providing intelligence and arranging for the necessary documents prior to meetings.
- Assisting Clinical Unit team members with business requirements such as travel and professional development arrangements, and scheduling of meetings.
- Supporting and maintaining the governance processes of the unit including feedback registers, documentation and continuous improvement plans.
- Supporting new team members in the induction program to the systems and processes of the unit and wider Commission.
- Collaborating with the Clinical Education Program Support Officer, Clinical Operations (projects) Director and CCAD Senior Directors, Chief Clinical Advisor's Executive Assistant, to support Clinical Unit and CCAD priorities and activities.
