Accounts Officer / Assistant to Practice Manager Opportunity at Barton Family Lawyers - Join Our Petrie Team!

What We’re Looking For

We are seeking a positive, motivated, reliable and teachable person to join our Dynamic Team. This role is full time from 8.30am to 5pm, Monday to Friday.

The ideal candidate is eager to learn and has a keen interest in business operations and accounts management.

Your Role

You will work closely with our Practice Manager to provide assistance to our team with all business operations, including:

Operations Management

  • Oversee the daily operations of the law firm, ensuring processes are efficient and resources are allocated appropriately.
  • Implement and refine office procedures and workflows to maximise productivity and maintain high-quality service.
  • Manage and monitor the Firm's case management system to ensure that fixed fee agreements and other relevant documents are organised and uptodate.
  • Analyse and collect data to assist the Practice Manager to make decisions with respect to the operation of the Firm.
  • Assist with the development of Firm processes to improve efficiency and productivity.

Financial Oversight

  • Manage the office Account.
  • Receipting for the Trust Account.
  • Management of invoicing, client debtors and record keeping.
  • Accounts reconciliation
  • Payment of third-party invoices & banking

Client Relations

  • Serve as a point of contact for clients in relation to billing, addressing questions and concerns promptly and professionally.
  • manage client intake processes.
  • Ensure a high level of customer service and client satisfaction.

Team Leadership & Development

  • Supervise and support a team of lawyers, paralegals, legal assistants and law graduates with respect to fixed fee file management.
  • Assisting solicitors and the wider team with client bookings.
  • Coordinate staff training and development to ensure compliance with legal standards and firm procedures.
  • Organise and coordinate team building activities.
  • Manage employee onboarding and offboarding.
  • Oversee recruitment and termination processes.
  • Foster a positive, collaborative and efficient working environment for all team members.

Compliance & Risk Management

  • Monitor compliance with EMR.
  • Monitor and enforce compliance with legal requirements of the firm, ethical guidelines and firm policies.

Referrals

  • Assist to make new connections and build new referral relationships.
  • Monitoring systems and processes to maintain referral relationships.

What Success Looks Like

1 Month:

  • You will understand our processes, philosophy, business challenges and opportunities.
  • You will begin assisting with basic invoicing and receipting.
  • assist lawyers with daily operational requirements
  • you will be completing reconciliation of accounts.
  • you will be assisting with payment of Firm debtors.
  • You will start managing client intake processes.

3 Months:

  • You will confidently assist the team with basic accounts questions.
  • You will understand our fee structure and how our fixed fee agreements work.
  • you will start analysing and collecting data to assist with practice management decisions.
  • you will be confident assisting with client enquiries to ensure they are allocated to the appropriate lawyer.
  • you will understand firm operational requirements and start assisting to manage the firm’s legal and ethical requirements and firm policies.
  • you will start becoming familiar with the firm’s referral relationships and take steps to maintain and grow those relationships further.

6 Months:

  • You will handle accounts issues, solve problems proactively, and optimise processes for efficiency.
  • You will manage all matter accounts for our solicitors and set clear goals for your continued growth.
  • you will be reviewing the case management system to ensure all fixed fee agreements are uptodate.
  • you will be creating, implementing and refining office procedures to maximise productivity and efficiency.
  • You will be confidently managing recruitment processes, staff training and team onboarding/offboarding and team building activities.
  • you will be taking steps to foster the growth of a positive, happy and healthy work culture within the firm.
