The Person

An Office Assistant is the supportive force behind both our people and processes, and we are currently seeking someone exceptional to join our team.

The ideal person for the job will be a problem solver with excellent communication skills and impeccable attention to detail. This position will require the ability to multitask, manage complex schedules, and meet changing deadlines.

Key Tasks

  • Provide front desk coverage, greeting guests who enter the office, managing incoming/outgoing mail and shipments, and maintaining an organised, clean office environment
  • Oversee and order office supplies and food deliveries for group meetings
  • Maintain filing system, contact database, employee list, and inventories
  • Monitor work priorities to ensure delivery of efficient and effective client focused services. Workflow management includes but is not limited to the following:
  • Manage and co-ordinate external calls for Clients, perspective customers and general enquires.
  • Support CTO and Application Manager with clerical tasks, such as preparing reports, presentations, and spreadsheets.
  • Monitor and assist CTO and Application Manager with administrative workflow tasks to ensure day to day business tasks are completed.
  • Synchronise internal systems with external customer systems as required.
  • Monitoring clients contact points, escalating any requests and monitoring their process to completion as required.
  • Entering/updating data in the virsac system as required
  • Undertake duties relating to requests as part of Client care as required.
  • Management of the client billing worksheet, ensuring items are followed up, resolved and marked off as completed.
  • Collate and circulate reports and emails as per business requirements e.g. Governance Reports, Release Notes etc.
  • Build strong, collaborative working relationships with the CoTé team and with relevant stakeholders.
  • Contribute to the continuous improvement of work practices in the team and broader business.

Required Experience/Skills

  • Administration experience in delivering high quality customer service in a fast-paced environment
  • High level communication (oral and written) skills, including the ability to interact with a diverse range of people and develop effective relationships across a range of internal and external stakeholders.
  • Proficient in Microsoft Office, with aptitude to learn new software and systems
  • High school diploma or equivalent
  • Customer Service experience (desirable)

  • Ability to demonstrate professional diplomacy and discretion while always maintaining confidentiality.
  • Strong work ethic with an ability to work under pressure at times.
  • Demonstrates ability to work independently and collaboratively as required.
