About the Opportunity
Resolve Divorce understand the importance of providing exceptional support and care to their clients during their legal journey. This newly created role of Reception Coordinator plays a pivotal role in ensuring that front-office operations and client experience align with the firm’s mission of offering compassionate and effective legal assistance to families in need.
Key Responsibilities:
- Provide exceptional client service, anticipating needs and ensuring a positive experience across all interactions (in-person, phone, email).
- Oversee the smooth operation of reception activities, ensuring professionalism, organisation, and efficiency.
- Supervise, mentor, and support reception staff, managing workflows and task delegation to maintain high-quality service delivery.
- Assist legal teams with critical administrative tasks, such as document preparation, diary management, and correspondence handling.
- Coordinate client appointments, scheduling, and meeting room bookings to ensure seamless daily operations.
- Identify and implement opportunities for process improvements in reception and administrative functions to drive streamlined efficiency and high performance.
- Uphold strict confidentiality of client and firm information while adhering to legal and regulatory standards.
- Senior experience (minimum 5-years) in a reception role ideally as a senior receptionist or office coordinator, specialising in professional and engaging customer service.
- Proven ability to manage high-volume, fast-paced, client-facing reception environments with professionalism and efficiency.
- Advanced proficiency in administrative tools and systems, including CRMs, Microsoft 365, and document management systems.
- Excellent verbal and written communication skills, with a warm and professional tone.
- Ability to manage multiple tasks, prioritise effectively, and solve problems proactively.
- Strong skills in planning and coordination to ensure smooth front desk operations and timely task completion.
- Natural leadership style with experience mentoring, guiding, and delegating tasks to team members.
- Hands-on approach to managing workflow, front-office excellence, and administrative tasks.
- Detail-oriented with a focus on maintaining high-quality standards and streamlined efficiency.
