Wyanga Aboriginal Aged Care is seeking an organised and dedicated Office Coordinator to join our team. This role is pivotal in ensuring the smooth day-to-day operations of our office while providing exceptional service to our Elders and community.

About the Role:

As the Office Coordinator, you will be the first point of contact for clients, visitors, and staff, delivering a professional and welcoming experience. You will be responsible for reception duties, office and building maintenance, and coordinating transport services. This position is ideal for someone with strong administrative skills, attention to detail, and the ability to multi-task in a dynamic environment.

Key Responsibilities:

  • Greet and assist clients, visitors, and staff in a professional manner.
  • Answer and direct phone calls efficiently.
  • Manage the reception area, ensuring it remains organised and welcoming.
  • Coordinate transport services by scheduling and rostering transport drivers using our CRM system, Nightingale.
  • Oversee office maintenance, including liaising with contractors for pest control, cleaning, and other services.
  • Maintain office supplies and ensure stock levels are adequate.
  • Assist with general administrative tasks, including mail distribution, scheduling meetings, and document management.
  • Provide support for internal events and staff onboarding.

About You:

We are looking for an enthusiastic and detail-oriented individual who thrives in a client-facing environment.

To succeed in this role, you should have:

  • Experience in an administrative or receptionist role, preferably within aged care or community services.
  • Strong organisational and multitasking skills with high attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn systems such as Nightingale, Monday.com, and Employment Hero (training provided).
  • A friendly and professional attitude with a commitment to high standards of service.
