About the Role
We are seeking an organised and proactive Executive Assistant to support the Director of Property in managing their daily schedule, communications, and key administrative tasks. This is a 12-month fixed-term contract role ideal for someone who excels in a fast-paced environment and enjoys working with senior leadership.

Key Responsibilities
- Organising the Director's calendar by prioritising appointments, meetings, and events.
- Coordinating with internal and external stakeholders to ensure efficient use of time.
- Acting as the primary point of contact for the Director, managing all incoming and outgoing communications (emails, phone calls, and other correspondence).
- Maintaining the Director’s communication style and preferences in all communications.
- Coordinating all travel logistics, including flights, accommodations, transportation, and travel documents.
- Preparing materials for executive-level meetings, including scheduling, agenda setting, and recording minutes. Tracking action items and following up on outstanding tasks.
- Handling sensitive information and maintaining confidentiality at all times.
- Assisting in the preparation of reports, presentations, and documents, ensuring accuracy and adherence to company guidelines.
- Building and maintaining strong relationships with internal teams, board members, clients, and external stakeholders.
- Screening and prioritising communications and requests directed to the Director.
- Handling inquiries directly or redirecting them to relevant parties as needed.
- Collaborating with the Director on specific projects and providing administrative and logistical support.
Skills & Experience
- Proven experience as an EA, PA, or in a secretarial role
- Commercial property experience is highly desirable
- Excellent organisational and time management skills
- Strong verbal and written communication abilities
- Proficiency in MS Office suite
- Experience with SharePoint, MS Teams, and MS Planner (or willingness to learn)
