Overview:
The Project Officer reports directly to the Executive Director, Activity based Management and Funding, and is accountable for the provision of high quality, confidential, organisational and information management support and advice. As Project Officer, the incumbent will be responsible for overseeing the preparation of high-quality correspondence and executive briefings, providing executive officer support to cross divisional and sector committees and providing project management support to projects led by the Executive Director or key branch wide projects. As a key member of the Executive Director’s office, the Project Officer will be skilled in building and maintaining effective internal and external relationships, identifying, monitoring and attending to priority and urgent enquiries, and ensuring processes are in place to enable effective quality control of information.
The purpose of this role is to enable an effective dedicated support service to the Executive Director, Activity Based Management and Funding, by coordinating and actioning a wide range of project and administrative functions across the portfolio along with Executive Office led projects. The position also provides project support to the broader Activity Based Management and Funding branch as required and acts as a key liaison point between other internal and external business areas.
Provision of high-level confidential support to the Executive Director, Activity Based Management and Funding will be achieved through the following activities:
- Assisting the Executive Director to implement organisational projects, plans, milestones and monitoring of key performance indicators;
- Supporting effective coordination and project management across a range areas, through monitoring project progress against milestones and deadlines, and liaising with responsible Project Sponsors and Project Managers;
- Oversee and coordinate human resource management processes within the branch;
- Contribute to the identification and preparation of responses to emerging and priority issues;
- Liaising with key stakeholders as required by the Executive Director;
- Undertake a variety of information background searching tasks as related to the work of the branch and the division as required;
- Oversee the Executive Office, including the scheduling of travel, meetings and other administrative activities;
- Providing confidential high-level administrative support to the Executive Director;
- Communicating and liaising with executives and staff at all levels of DHW;
- Support the processing and management of expenditure as related to the internal branch budget, including monitoring internal budget reports.
