About the role
We are seeking an intuitive, dynamic, and experienced administration professional to work closely with the Administration and Systems Manager and operational staff in the daily running of the office to support our team and deliver exceptional services to clients. The successful applicant will have the ability to provide effective and efficient administrative support relating to (but not confined to) personnel onboarding, records management, purchasing and general administrative services. Effectively working as part of a team is key to a smooth-running office and happy clients.
The Scheduling and Administration Professional will be expected to:
- Manage our Microsoft Excel spreadsheet with crew allocations and accommodation for around 80 personal
- Co-ordinate rosters, travel and accommodation and last minute changes
- Weekly scheduling meetings with client and Management
- Communicate with Supervisors and outher staff will Personal allocation of works
- Communicate with employees to conform flights and accommodation is meet
- Onboard employees in accorrdance with Swan requirements
- Onboard and Mobilise employees to RTIO, BHP, MRL , MRWA and other clients
- Ensure all personnel licenses and tickets remain current
- Data entry in Integrated Management System of Safety and Quality records
- Manage daily paperwork through the company's Traffio job management stystem
- Be available for occasional work out of hours (for example, last minute flight changes)
- Travel to our rural offices if required
Essential Criteria:
- Maintain fitness for work. Swan has a Zero Drugs and Alcohol policy
- Experience with large mining company onboarding and mobilisation processes highly desirable
- Excellent computer skills with high focus on Excel spreadsheets
- Willingness to learn
- Ability to work unsupervised and maintain motivation
The position is located in our Osborne Park office and the expected hours of work will be 8.30am to 4.30pm unless otherwise agreed. Swan will require you to goto site when required
