TenacityCX have partnered with this leading global financial services organisation, who are looking for an experienced Talent Acquisition Onboarding Coordinator to join their team in Melbourne to support them and the wider global team.This is a newly created role where you will be supporting Talent Acquisition Consultants in Melbourne as well as the wider global team with onboarding of new employees.
In this role, you will:
- Manage the full onboarding process for new hires, ensuring a smooth transition from offer to first day.
- Coordinate the preparation of onboarding materials, including contracts, policies, and induction packs.
- Liaise with relevant departments (HR, IT, Facilities) to ensure the new hire has the necessary equipment, tools, and access.
- Oversee the completion of all mandatory training and documentation for new employees.
- Track internal movement and provide regular updates to HR and senior management on progress.
- Maintain accurate and up-to-date candidate records in the recruitment management system.
- Maintain accurate employee records in the Talent system, ensuring compliance with internal policies and legal requirements.
- Support the Talent team in updating and processing employee records for new hires and internal transfers.
- Maintain and generate reports on onboarding progress, internal movement, and recruitment activities for management review.
- Ensure that all required documentation is completed and stored in compliance with company policies and data protection laws.
To be successful, you must have:
- Demonstrated experience working in a Talent Acquisition / Recruitment / HR administrator / coordinator role
- Experience with setting timelines, tracking progress, and ensuring tasks are completed on schedule.
- Strong interpersonal skills for building relationships with stakeholders across the organisation.
- Excellent written and verbal communication skills.
- Ability to problem solve, be proactive and use your initiative
- Proficient in managing time effectively, balancing administrative tasks with more strategic, people-focused responsibilities.
- Ability to manage multiple tasks and priorities effectively, ensuring all stages of the onboarding process run smoothly.
- High attention to detail when managing employee records, contracts, and documentation.
- Resilience to work well under pressure and within a fast-paced environment
- Ability to handle unforeseen challenges during onboarding or internal transfers and adjust plans accordingly.
- Skilled in troubleshooting issues that may arise in employee transitions or recruitment processes.
