The Role


We currently have an opportunity to join People team as an Executive Assistant in a permanent position. This opportunity is open to work from our Melbourne office in conjunction with our hybrid work from home options.

As an Executive Assistant, you will assist the Chief People Officer and People Leadership Team with administrative and support functions.

Your responsibilities will include:

  • Proactive diary management, including co-ordinating external and internal meetings; Travel arrangements including flights, accommodation, transfers etc
  • Management and coordination of the preparation and submission of Board and Committee papers, in conjunction with the Governance team
  • Administrative support for the People team including planning and coordinating team meetings, team days etc, creation of presentation materials etc
  • Monitor team budget including processing of invoices and expenses, tracking of expenses, liaising with Sourcing & Procurement regarding new and existing vendors;
  • Plan and organise organisation-wide events, including catering, venue hire, invitation process, collateral etc;
  • Proactively manage risk; meet all policy and compliance requirements; perform controls; adhere to Process and Procedures pertinent to role; and escalate events, issues or breaches as they are identified.

About you

  • Similar role or 5+ years of relevant experience, preferably in financial services
  • High degree of professionalism and confidentiality
  • Highly conscious of detail
  • Excellent time management skills and ability to multitask and prioritise
  • Well-developed verbal and written communication skills
  • Well-developed interpersonal skills with the ability to build relationships across multiple stakeholders
  • Proactive with high levels of initiative and ownership
  • Advanced capability with MS Office, including Outlook, Teams, PowerPoint, Excel
  • Able to work under pressure and cope with competing demands and commitments
