6-Month Temporary Contract (with potential 12+ month extension) to support the newly formed Australian investment business of an international firm. Based across Perth, Sydney, and Brisbane, the Commercial Office Coordinator supports administrative functions and day-to-day operations. This role is key to the smooth running of the business and offers an exciting opportunity for a dynamic, proactive individual seeking new experiences and career growth.

Description

  • Assist with basic bookkeeping tasks such as invoicing, expense tracking, and reconciling accounts.
  • Asset management support through governance and commercial operations
  • Coordinate IT support with Washington office such as troubleshooting office equipment (printers, computers), setting up new hardware or software, and assisting with basic technical issues.
  • Monitoring inventory of office supplies & ordering when required
  • Manage & maintain Perth tenancy by submitting & coordinating service requests & booking office amenities where needed
  • Maintaining team calendar & team co-ordination
  • Receive, sort and distribute incoming mail and emails. Prepare outgoing mail and correspondence.
  • Coordinate and book travel arrangements for all team members
  • Receive, distribute, and file all project documents in a timely and accurate manner.
  • Maintain and update document control procedures as necessary.
  • Ensure that all documents are properly formatted, reviewed, approved, and stored.
  • Collaborate with project teams to ensure document accuracy and completeness.
  • Assist in audits and inspections related to document control.

  • High technical proficiency in using Microsoft Office applications (Word, Excel, Power Point etc.) and SharePoint.
