The primary purpose of this role is to provide a high level of administrative support to the Country Leader. Identify and prevent problems or issues which arise and resolve on own initiative or forward through to appropriate person for action.
Please note this role is a 12 month fixed term contract that offers part time workings hours for example – 4 days business hours or 5 days flexi-hours.

What will your essential responsibilities include?
· Effectively manage schedule of meetings and active calendar of appointments, following up appropriately on appointments and coordinate meetings on behalf of the Country Leader.
· Works closely with the Country Leader to keep them well informed of upcoming commitments and responsibilities.
· Build and maintain close and collaborative relationships with internal and external stakeholders.
· Organise full spectrum of travel arrangements including flight arrangements, visa applications and prepare complex travel itineraries.
· Manage and prepare monthly expenses claims on behalf of the Country Leader.
· Prepare presentations and provide support during meetings, including national town halls and quarterly business reviews. Preparations for meetings including taking and accurately transcribing minutes.
· Responsible for planning, organising and/or implementation of special projects, meetings or events such as conferences.
· Participate actively in the planning and smooth execution of internal and external corporate events, including conferences and client/broker events.
· Provide ad hoc admin assistance to other Leadership Team members as agreed with the Country Leader
· Take ownership of special projects as agreed with Country Leader and proactively coordinate with relevant parties to achieve project goals
· Follow all internal company procedures where applicable including, but not limited to, administrative procedures, expenses, health & safety.
· Ensure that, as an AXA XL employee, you are representing the AXA XL organisation in a professional and appropriate manner.

We’re looking for someone who has these abilities and skills:
· Extensive experience as an EA, ideally working for a global organization/ Financial Services industry.
· Excellent communication, management and interpersonal skills to build relationships and trust at all levels internally and externally.
· Excellent knowledge of MS Office and advanced skills in Powerpoint and Word. Good working knowledge of Excel.
· Demonstrated capability in events management and small-medium sized project management
· Ability to multi-task, prioritise & adapt to changes
· Outstanding organisational & time management skills
· Able to organise self (and others if applicable) including effective scheduling, prioritisation and time management skills, completing tasks to tight deadlines. Demonstrates a ‘can do’ attitude.
· Ability to think broadly and make decisions.
· Maintain high confidentiality in handling of all matters.
· Ability to persuade, influence and negotiate both directly and indirectly.
· Demonstrates ability to leverage on previous experience and judgement to plant and accomplish goals.
· Displays a resilient and adaptable style, track record of remaining calm in demanding circumstances, adjusting comfortably to changing conditions / priorities
· Excellent time management and planning skills.
· Experience working in a cross culture environment and sensitive to different cultural practices
