The opportunity
IFYS has an exciting opportunity for an Executive Assistant to join the team, supporting the Executive Manager – Service Delivery. The Executive Assistant will provide administrative support of a complex nature, including preparing reports, drafting correspondence, proofing document submissions and monitoring the Executive’s inbox.
The position works across a varied portfolio which includes child protection services, disability services, homelessness and housing, and family services across Queensland.

- Support the development of communication strategies, including preparing presentations, reports and internal staff communication
- Assist in the drafting of written and verbal correspondence (for example, emails, speeches, letters, etc.)
- Prepare, edit, and proof documentation, such as board-level submissions, internal proposals and tenders and funding submissions
- Undertake coordination of meetings, appointments, events, diary management, travel arrangements and assisting with the management of internal processes
- Organise and prepare for meetings by preparing agendas, organising required paperwork and recording minutes
- Monitor and manage the Executive Manager’s email inboxes, ensuring timely responses and where appropriate, undertake any necessary action
- Manage financial administration, including credit card reconciliation, invoice preparation, and budget tracking
- Collect, maintain, and analyse records and data to support compliance, reporting, and auditing requirements
- Demonstrated experience in Executive Assistant role or similar
- Experience working within the Human Services, Government and/or Not for Profit sectors will be highly advantageous
- Intermediate to advanced skill level with the Microsoft Office Suite, particularly Word, Excel and PowerPoint required
- A high level of confidentiality, integrity and awareness of sensitive information
- Strong communication, interpersonal and public relations skills to enable professional interaction with a diverse range of stakeholders
- Exceptional attention to detail and accuracy
- Advanced time management skills with an exceptional ability to prioritise a diverse workload
- Valid Queensland Driver's License with no restrictions, and own reliable transport
- Queensland Working with Children Check (Paid Blue Card)
- Licensed Care Service Suitability Check (LCS2)
- National Criminal History Check (a new check will be conducted through IFYS systems)
