About the role
In this position, you will lead a team responsible for the logistical collection of secure confidential information and data. You will ensure the team completes run schedules in a timely manner, liaise with all major clients and contractors to meet logistic requirements, provide reporting on all input and outputs of the Warehouse, ensure all vehicles are maintained and contribute to the maintenance of NAID AAA accreditation. While performing this role you will maintain a professional image of the company and always deliver a high-quality level of customer service.
Key Accountability:
- Manage and maintain a working environment that minimizes risk to health, safety and wellbeing.
- Responsible for the day-to-day efficient operations and compliance of the destruction and recycling facility.
- Coordinate daily logistics to ensure optimal routing of runs to maximize benefits back to business.
- Maintain staff morale and discipline where required including recruiting, training and termination in conjunction with management including Mechanical employees.
- Maintain optimal staffing levels, keeping within budgeting targets.
- It is expected that you will undertake runs as required.
- Monitor truck tracking program to ensure vehicles are on routes as allocated
- Maintain currency of logistics database (OSP)
- Order diesel for East Vic
- Ensure toolbox meetings are held and well attended at 6 weekly intervals
- Approve non-standard hours including those submitted by Mechanics employees
Vehicles/Equipment
- Maintain records, organise repairs and servicing of mobile equipment and fixed plant equipment.
- Organise prompt repairs and servicing of fleet vehicles with minimal down time in conjunction with mechanical service division.
- Be available afterhours to manage warehouse and vehicle breakdowns, organising prompt repairs with minimal downtime.
Reporting
- Monitor, record and co-ordinate all incoming and outgoing goods eg. weighbridge, cardboard, paper, e-Waste and other recycling materials – input / output. Work orders to be generated for all incoming and outgoing activities
- Ensure load reports are completed and monitored for all East, West and Metro DocShop sites
- Monthly weighbridge report to be completed from each division East, West, Metro and overall activity.
- Provide monthly warehouse activity reports – White paper, Shredded paper, Cardboard bales
- Output reports for paper and cardboard to contractors
- Monthly contractor reports to be generated
Business Development
- Negotiate cardboard and paper pricing with paper brokers.
- Liaise with all major clients and contractors to meet logistic requirements as required.
- Take a client relationship approach to all customer activities with a view to building and developing repeat and new business opportunities.
- Maintain a customer service culture in line with DocShop vision and values
Accreditation/Compliance
- Maintain a secure environment protecting client information.
- Ensure a thorough understanding of privacy legislation within the DocShop environment.
- Maintain compliance and NAID accreditation obligations
Duties:
- Responsible for and undertake health and safety checklists and risk assessments
- Daily scheduling of customer service driver logistics
- Co-ordination of all warehouse and operational staff
- Be involved with recruitment activities in consultation with management
- Responsible for staff payroll administration
- Responsible for the co-ordination of operations and after-hours activities
- Maintain and keep on file appropriate business records / reports
- Generate production reports as required
- Be familiar with company policies including review, updating and modification as required
What we're looking for
- 2+ years' experience in a team leader or supervisory role, preferably in the logistics industry
- Excellent interpersonal skills to effectively lead and motivate a team
- Well-developed communication skills – written and verbal
- High level organisational and time management skills with the ability to prioritise and multitask
- Proficient computer skills eg Microsoft suite - Excel, Word, Outlook
- Ability to work effectively under pressure to meet scheduled and demanding timelines
- Ability to analyse problems, seek and develop solutions

- Desirable – Forklift licence, Heavy Truck licence
- Current drivers licence
- Willing to undergo a criminal background check
