About the opportunity
The Administration Officer – Program Delivery & Assessment is an integral part of the School of Medicine Administration Team and will work under the general direction of the Team Leader, at the Launceston Clinical School (LCS) in the Tasmanian School of Medicine. The key purpose of the position is to provide seamless administrative support to a range of stakeholders with a focus on efficient, lean and responsive advice and guidance to support the operations of the School’s Learning and Teaching programs and events.
The position will be responsible for creating effective relationships working with internal and external health stakeholders to ensure a seamless program. The position will be integrally involved in core administrative responsibilities across the school, including clinical rotations compliance, student placements, timetabling, examinations and assessments in order to meet School deadlines. This will involve providing high level advice and guidance to staff, students, and external stakeholders in areas including administration, policy, procedures and external regulatory compliance requirements.
What you’ll do:
- Complete a broad range of administrative duties to assist in the delivery of all programs within the Tasmanian School of Medicine. This may include clinical rotations, timetabling, student data base management, supporting assessment, professional experience placements and participating in community engagement activities.
- Participate as part of a high performing team to deliver exceptional service to students, academics, visiting clinicians and patient partners.
- Use and access systems within the University, in accordance with the UTAS and College of Health and Medicine guidelines.
- Participate in relevant meetings, committees and working parties as directed by the Team Leader.
- Apply a Lean methodology to your work, identifying and implementing continuous improvement.
What we’re looking for:
- High Level administrative skills including good organisation and prioritisation skills, together with the ability to perform tasks with accuracy and attention to detail and with minimum supervision.
- Demonstrated interpersonal and negotiation skills with the ability to interact and communicate effectively and professionally with members of the public, professional bodies, and stakeholders at all levels to develop and maintain effective relationships and partnerships, and to work as an effective member of a team.
- Advanced organisation skills, with the ability to meet deadlines, attention to detail, work under pressure, and prioritise tasks in a complex organisation.
- Excellent customer service with experience in focusing on and understanding client needs.
- Well-developed oral and written communication skills including the ability to draft correspondence and prepare minutes and reports.
- Ability to be flexible and adaptable to cope with changing work methods and working environment.
- Completion of a Certificate level qualification with relevant work-related experience or an equivalent combination of relevant experience and/or education/training.
Salary details
Appointment to this role will be at HEO 4 and will have a total remuneration package of up to $88,479 pro-rata comprising base salary within the range of $71,387 to $75,623 pro-rata plus 17% superannuation.
