The Senior Executive Officer is responsible for providing high level, effective and confidential executive support to the Executive Director. You will assist with the corporate functions and responsibilities of the Office of the Executive Director, utilising your proven ability to arrange conflicting priorities while exercising judgement and discretion.
Key Responsibilities
- Support the Executiv:e Director with high-quality confidential executive, administrative and project assistance including diary management, travel arrangements and coordination.
- Providing high-level secretariat support for meetings and committees, including bookings, preparing agendas, papers and minutes, and following up on action items.
- Ensuring high standards are maintained regarding the management of Ministerial and executive briefs, parliamentary documents and correspondence.
- Managing diary and coordinating documents that are of a high standard, are fit for purpose and delivered within specified or agreed timeframes.
- Proactively manage the office inboxes as well the Executive Director's approval mailbox, and all incoming correspondence. Manage general file administration and allocate to the appropriate officer for action.
- Ensuring highly confidential and sensitive information is managed appropriately, using judgement to bring urgent matters to the attention of executive group.
- Developing, monitoring and evaluating systems and processes to ensure the effective management and workflow of ministerial and executive correspondence, reporting and responses.
- Undertake a range of activities to support the Executive Director including proof reading and formatting external correspondence and speeches, designing and formatting presentations and other duties to support the functions of the office.
- Assisting the Corporate Support team, coordinate corporate, governance and administrative duties necessary for the efficient operation of the office including, internal financial assessments, routine reporting requirements, human resources matters and exercising delegated financial duties as required.
- Working with the Corporate Support team you will ensure the efficient operations of day-to-day activities of the Office of the Executive Director.
This role interacts with internal stakeholders across the entire department and external government and non-government entities.
Reports to: Executive Director, Victim Assist Queensland
Direct reports : There are no direct reports for this role.
Collaborates with: Stakeholders within the Victim Assist Queensland portfolio and the Department more broadly.
