As we continue to scale, we’re looking for an Operations Manager to take charge of
logistics, fulfilment, inventory, supplier relationships, and system integrations while
leading a growing team. You’ll be at the heart of our business operations, ensuring smooth
workflows, optimising supply chain efficiency, and driving innovation in new product
offerings.
You'll also have the unique opportunity to test and use our products in our
showroom/office, collaborate on new product launches, and contribute to partnerships
with major brands like Lion Nathan (XXXX Gold), Jack Daniels, and the NRL.

About the Role
As our Operations Manager, you’ll oversee the backbone of our business, ensuring that
everything from order fulfilment to supplier relationships runs efficiently. This role isn’t just
about logistics—it’s about building systems that scale, driving product innovation, and
ensuring we continue delivering top-tier customer experiences.
You will oversee two direct reports:
- Logistics & Fulfilment Lead
- Operations Assistant
Additionally, you’ll work closely with our Customer Service Team Lead to ensure
ticket-based operational KPIs are met and improved. You’ll be responsible for training
and developing the customer service team’s operational knowledge, helping them
resolve issues quickly and improving the overall customer experience.

Key Responsibilities
1. Inventory & Order Management
- Oversee Unleashed as our inventory management and order fulfilment system.
- Audit daily order processing to ensure all sales orders are completed in
Unleashed on the day of dispatch.
- Identify and resolve order delays by tracking backlog issues and working with the
logistics team.
- Manage AIM (Advanced Inventory Management) implementation in Unleashed,
refining supplier lead times, stock level optimisation, and demand forecasting.
- Track and report on aged inventory, notifying the Sales & Marketing teams of
slow-moving stock and contributing to product bundling or discounting
strategies.
- Work closely with suppliers and off-shore sourcing agents to make adjustments to
product pricing, introduce additional upsell accessories, and drive expansion
into new product categories to improve profitability.
- Assist in new product launches and testing, ensuring stock availability aligns
with new releases and brand partnerships.
2. Logistics, Freight & Supplier Coordination
- Serve as the main point of contact for freight providers, warehouse teams, and
third-party logistics (3PL) partners.
- Work closely with the logistics lead to determine what products need to be
ordered and when.
- Oversee stock movements, freight bookings, and inventory coordination with
suppliers, warehouse teams, and fulfilment centres.
- Manage relationships with pool table installers, private delivery drivers, and
external contractors, ensuring all jobs are scheduled and processed efficiently.
- Implement quality control measures with suppliers to improve packaging,
reduce damages, and refine product designs based on customer feedback.
- Collaborate on product improvements with suppliers, ensuring we continue to
offer premium man cave products that stand out in the market.
- Ensure efficient freight and logistics cost management, contributing directly to
quarterly cost reduction incentives.
3. Systems & Process Optimisation
- Research, implement, and integrate new software solutions into Shopify,
Unleashed, and external systems to improve operational workflows.
- Lead software integrations, ensuring all systems work seamlessly and VA teams
are properly trained in new processes.
- Develop step-by-step SOPs and Loom video tutorials for new processes,
ensuring company-wide adoption and efficiency.
- Work with finance teams to ensure that cost data from Unleashed is accurately
reflected in P&L statements and that costs are effectively managed.
- Assist in automating stock replenishment and reporting systems, allowing for
data-driven inventory control and cost optimisation.
4. Customer Experience & Collaboration with Customer Service
- Work closely with the Customer Service Team Lead to ensure the team has full
visibility on stock levels, delays, and operational workflows.
- Train the Customer Service Team Lead in operational processes so they can
handle fulfilment-related tickets without escalating to the operations team.
- Provide regular updates on backorder timelines and stock availability to improve
response times for customer inquiries.
- Work alongside the Customer Service Team Lead to track common issues,
ensuring logistics and fulfilment teams address recurring problems efficiently.
- Help streamline the return/exchange process, reducing unnecessary stock loss
and improving customer satisfaction.
5. Team Leadership & VA Management
- Lead the Logistics & Fulfilment Lead and Operations Assistant, ensuring they
meet performance targets.
- Oversee VA management, ensuring virtual assistants have clear documentation,
training materials, and regular performance audits.
- Ensure all new processes affecting the VA team are documented and
communicated clearly, including step-by-step guides and Loom tutorials.
- Regularly audit the efficiency of the fulfilment team and virtual assistants,
optimising their workflows to increase productivity.
6. Financial Oversight & Cost Optimisation
- Work closely with the Founder and the accountants to review P&L statements
and track operational expenses.
- Ensure financial data from Unleashed is correctly integrated into accounting
reports.
- Identify opportunities for cost-cutting across freight, warehousing, and supplier
costs.
- Help negotiate better terms with suppliers to reduce costs while maintaining
product quality.
Bonus & Incentive Structure
1. Gross Profit Incentive
- Earn a quarterly performance bonus for achieving increases in gross profit (GP)
over time.
- Measured as the average GP across all sales on a quarterly basis, with clear
growth targets in place.
- Bonuses will be awarded based on incremental improvements in overall
profitability.
- This role will work closely with suppliers and off-shore sourcing agents to
negotiate product pricing adjustments, introduce additional upsell accessories,
and drive expansion into new product categories to maximise profitability.
2. Total Cost Reduction Incentive
- Performance bonuses will be awarded for reducing total costs incurred from
product damages, refunds, and replacements.
- A benchmark will be established in the first quarter, tracking losses from refunds,
eBay purchases, and additional costs incurred to satisfy customers.
- Quarterly bonuses will be paid based on measurable reductions in these costs over
time.
