From the bustling Tuckshop to the essential Uniform Shop, and over at fun-filled Gumnut House (OSHC), you'll be a key player in our success story.

Location: Greenbank State Primary School, 24-36 Goodna Road, Greenbank QLD 4124

Relevant Award: Parents’ and Citizens’ Associations Award – State 2016 ( Award )

Nature of position: Part-Time, Contract - 2 years

Hourly rate of pay: $31.59 per hour, in accordance with Level 5 under the Clerical and Administrative Stream of the Award

Ordinary working days/hours: Monday to Friday 9am – 3pm, during ‘term-time’ (negotiated days in school holiday time)
Your duties and required skills as Administration Manager will include but will not be limited to the following:

Key Result Areas

  • Working with our accountant and being responsible for a full range of bookkeeping support covering automated processing, AR, AP, payroll, BAS, superannuation, business operations reporting, audit preparation and advisory when required;
  • Maintaining records of financial transactions by establishing accounts, posting transactions and ensuring that legal requirements are met;
  • Planning and selecting appropriate equipment, services, techniques and work organisation for self and others;
  • Performing specialised or non-routine clerical and office duties with either limited or no supervision;
  • Providing assistance, guidance and training to P&C Executive members;
  • Providing detailed advice and information on the organisation’s products and services;
  • Responding to client/public/supplier problems within own functional area utilising a high degree of interpersonal skills;
  • Ensuring all P&C policies and procedures are up to date;
  • Maintaining Volunteer and Blue Card Registers and updating as necessary;
  • Issuing and receiving standard forms, emails and telephone calls;
  • Relaying internal information and updating calendars for specific individuals, groups or purposes;
  • Completing data entry; and
  • Attending P&C meetings at least once a month to present a correspondence report.

Other Areas

  • Liaising with internal and external stakeholders to maintain relationships;
  • Providing support and assistance as required across other all areas of the P&C’s business units including projects, fundraising events and meetings;
  • Preparing rosters and breaks and attracting volunteers when required;
  • Completing/assisting in stock orders and maintaining stock levels of business units when required;
  • Assisting with the planning and organisation of P&C events and initiatives, including through liaising with vendors, suppliers, volunteers, staff, etc.;
  • Assisting with facilitating community engagement for P&C events and initiatives, including through promotion/marketing of P&C events and initiatives;
  • Assisting with sourcing donations and/or sponsorships for P&C events and initiatives; and
  • Assisting the P&C Executive and committee with operational tasks, as directed.
  • Experience with Tanda desirable

To be successful in this role you will possess:

  • A current Blue Card and an ability to work around children;
  • Relevant qualifications and/or experience relating to the position;
  • Internet and PC proficiency with advanced skills Excel, Word and Outlook;
  • Basic accounting knowledge (experience with in MYOB highly sort)
  • An ability to produce work with a high level of accuracy;
  • A high level of keyboard skills;
  • Effective communication skills, including the ability to effectively communicate requests and instructions to individuals and groups;
  • A commitment to, and enthusiasm for, client service and delivery;
  • Flexibility and adaptability to manage changing work requirements and varying volumes of work;
  • An ability to work co-operatively and effectively within the P&C team and the organisation;
  • An ability to manage multiple tasks simultaneously, solve problems, manage, and meet deadlines and maintain a high quality of work; and
  • A personal presentation that reflects a professional image and the values of the organisation.
