Your new role:
As the Executive Officer you will provide a range of effective administrative services and executive support with a strong focus on correspondence. You will emphasise accurate application of operational processes, procedures, guidelines to ensure effective running and support compliance with organisational policy, governance frameworks and financial standards.
You will undertake a variety of activities including but not limited to:
- Monitoring and coordinating timely correspondence and approval activity escalating to the Office Manager when required.
- Developing appropriate administrative service continuity strategies and procedures for Procurement, Supply Chain, and Finance core business services, roles, and functions.
- Ensuring quality control of briefings going to and from the Executive Director, Procurement, Supply Chain, and Finance.
- Providing support for correspondence including workflow processes across Procurement, Supply Chain, and Finance.
- Contributing to relevant decision-making processes, especially regarding the corporate support services, guidelines, and procedures.
About you:
As the successful Executive Officer, you will champion the values of collaboration and resilience and approach the role with a responsive and cognizant mindset. You will make insightful and timely decisions which consider environmental factors and stakeholder needs. You will possess the following:
- Demonstrated ability to draft clear, concise, and accurate correspondence, reports, and briefs that meet the Executive Director’s standards and support decision-making.
- Proven ability to handle sensitive information with confidentiality, especially in a government setting where discretion is essential.
- Demonstrated experience in the use of computing software (specifically the Microsoft range of products) and database packages to prepare and format complex word documents, analyse information using formulas within spreadsheets and produce high quality documents and presentation materials.
- Experience in developing, coordinating, and monitoring administrative systems and resources to meet specified outcomes, including correspondence management.
- Demonstrated ability to work under pressure, use sound judgement and apply excellent organisational skills to achieve high quality outcomes within agreed timeframes.
