About the role
- Manage the reception area to ensure the provision of best practice telephone and mail communications, both internally and externally, and to maintain the professional image of Villa Maria Catholic Homes (VMCH).
- Provide a wide range of administrative support to the Coordinator, including coordination of mail, preparation and distribution of correspondence, ordering and stock control of office stationery and cleaning supplies.
- Provide reception duties including meeting and greeting residents, their families, staff, and other customers and directing them appropriately, answering telephone calls, transferring calls, and taking messages, directing enquiries as appropriate and in a timely manner;
- Manage and maintain filing system ensuring all documents are filed in a systematic, organised manner;
- Manage time effectively; including prioritising daily tasks, and other requested tasks according to workflow requirements.
- Log property maintenance requirements into Facility Management Software program and arrange necessary work/service in consultation with the Property Department.
- Undertake general housekeeping duties, ensuring common areas are always presented at five-star standard, reporting any requirements for repairs, maintenance and special cleaning to the Coordinator.
- Attend to emergency calls when necessary, provide First Aid if required and activate medical emergency alarm if necessary
About you
Essential
- Extensive experience in reception, administration and customer service
- High level of computer literacy – MS Outlook, Word, Excel; Publisher
- Highly developed level of interpersonal skills, including the ability to communicate effectively and compassionately with residents, families, staff and volunteers; with patience, common sense and an understanding of quality service delivery
- Current level 2 First Aid Certificate (or willingness to obtain within a reasonable timeframe from commencement of employment)
- Demonstrated problem solving and prioritising skills
- Ability to work under minimal supervision and undertake a diverse range of tasks
- Demonstrated ability to operate with discretion and maintain complete confidentiality
- Experience at recognising, prioritising and actioning emergency or critical response to issues/needs arising
- Proven experience in problem solving and decision making
- Demonstrated ability to work autonomously and as part of a team
Desirable
- Relevant experience working in, or an understanding of and sensitivity to, the issues related to older people and the not-for-profit environment;
- Knowledge of AN-ACC funding, the Aged Care Act and other related legislation.
- Well-developed negotiation and dispute resolution skills
- Current valid Victorian Drivers Licence
