This is a permanent, full-time role, based at our South Melbourne office (5 days).
The role:
As part of our Government Solutions division, we are looking for a skilled Executive Assistant / Office Manager to support our Senior Vice President & Managing Director International (SVP) and provide essential administrative and operational assistance to our International Leadership Team. In this critical role, you will manage executive priorities, streamline business operations, and ensure the seamless functioning of our Melbourne office. As the SVP’s trusted partner, you will handle scheduling, travel, expenses, and communications while overseeing office facilities and administrative processes. As an EA/Office Manager at Verra Mobility you will:
- Provide high-level executive support to the SVP, including calendar management, travel coordination, and expense processing.
- Assist the International Leadership Team with administrative tasks, document preparation, and project coordination.
- Prepare reports, presentations, and correspondence for executive use.
- Oversee office operations, facilities, and relevant vendor management to maintain an efficient workplace.
- Handle office procurement, budget tracking, and invoice processing.
- Manage end-to-end travel logistics, including flights, accommodations, and visa arrangements.
- Support new employee onboarding, including workspace setup and office orientation.
- Act as the primary contact for internal and external stakeholders, to ensure smooth communication and collaboration.
Who are you?
You are a highly organised and proactive professional with 5+ years of experience in executive support, office management, or business administration (preferably for a multinational across international time zones). With a Cert IV in Business Administration (preferred) and a strong background in managing executive priorities, business operations, and office facilities, you excel in fast-paced environments, handling multiple tasks with efficiency and discretion. Your high proficiency in MS Office Suite (with SAP By Design or ERP experience preferred) enables you to streamline processes and support leadership effectively. You have excellent communication and interpersonal skills, allowing you to build strong relationships with executives, stakeholders, and vendors. A problem-solver by nature, you anticipate needs, improve workflows, and ensure seamless office operations. With a full, valid Australian Driver’s License and the ability to work onsite 5 days per week, you are a trusted and reliable partner in supporting leadership and driving business efficiency.
