Description:

Outlook Australia are looking for a highly organised and detail-oriented Payroll Coordinator to join our team and take charge of managing all payroll processing for our company.

The ideal candidate will have a solid background in payroll administration, effective communication skills, and the ability to work independently in a fast-paced environment.

As the Payroll Coordinator, you will be responsible for overseeing all payroll-related functions, including processing employee payments, ensuring compliance with relevant Awards and EBAs, managing employee file records, and overseeing statutory reporting. You will also manage the preparation and payment of payroll taxes and on-costs, while serving as the primary point of contact for any payroll-related inquiries from staff or external bodies.

In this role, it is essential to stay up to date with the latest Industrial Relations legislation and changes, providing guidance to the business regarding any impacts. While the role does not require you to provide HR advice to employees outside of payroll matters, you will be expected to collaborate with management as needed.

The position is based at Outlook’s Support Office in Pakenham, with hybrid working arrangements available.

Key Responsibilities:

1. Payroll Processing

  • End-to-end processing of payroll on a fortnightly basis, ensuring compliance with Awards, EBAs, and national and state legislation.
  • Review and ensure the accuracy of time & attendance and leave records.
  • Process staff entitlements, cross-check payment files, and generate EFT files for approval.
  • Manage termination payments and ensure timely payment of wages.
  • Assist staff and managers with payroll-related inquiries in a timely manner.
  • Ensure accurate payroll setup for new employees and work closely with the salary packaging partner to ensure timely payments.
  • Post and reconcile payment journals in the general ledger (GL) and develop relationships with employees.

2. Compliance & Reporting

  • Ensure timely completion of statutory payments, registrations, and reporting obligations, including superannuation, Workcover, portable long service leave, child support payments, and income taxes.
  • Keep management updated on any legislative changes affecting payroll.
  • Manage the completion of Salary Packaging reporting and assist with the annual Fringe Benefits Tax return.
  • Audit leave taken, entitlements and prepare payroll and workforce-related management reports.
  • Assist with employee terminations as it relates to payroll and ensure timely termination payments.
  • Function as the primary point of contact for staff payroll queries.

3. Financial Reporting

  • Ensure payroll transactions are complete before month-end reporting.
  • Prepare accruals for payroll-related liabilities and allocations.
  • Reconcile payroll system with the general ledger monthly.

4. Administrative Tasks

  • Maintain accurate payroll information in the employee database.
  • Assist the Finance Manager and Chief Corporate & Strategy Officer as needed.
  • Ensure compliance with company policies and procedures.

5. Quality & OHS, and Information Security

  • Ensure adherence to quality, OHS, and information security standards.

Qualifications:

Mandatory

  • 5+ years of experience in payroll management.
  • Proficiency in payroll software, time & attendance applications, and accounting systems.
  • Experience interpreting Awards and EBAs related to payroll matters.
  • Expertise in managing compliance obligations related to payroll reporting and payments.
  • Strong time management skills and ability to meet deadlines under pressure.
  • Excellent diligence, verbal, and written communication skills.
  • Strong IT skills, particularly in MS Office.

Desirable

  • Experience in implementing or transitioning payroll systems.
  • A Diploma or higher qualification in Accounting, Payroll, or a related field.
  • Experience using Employment Innovations payroll software.
