The Dash - Health Hub is a privately owned psychology practice providing administrative and psychology services. We support 15 experienced psychologists, counsellors, and accredited social workers who deliver evidence-based therapy, assessments, and well-being programs for individuals, couples, and families.

About the Role
As a Medical Receptionist, you will be responsible for providing administrative support to clinicians and ensuring a welcoming experience for clients. Reporting to the Practice Manager, you will work closely with them, the clinical team, and fellow receptionists to keep everything running smoothly.
Days & Hours
Part-time | 4 days per week | 30 hours total
- Tuesday: 7:30 am – 4:00 pm (8 hrs)
- Wednesday: 10:00 am – 6:30 pm (8 hrs)
- Thursday: 10:00 am – 6:30 pm (8 hrs)
- Friday: 10:00 am – 4:30 pm (6 hrs)
Generally, one receptionist opens The Dash, and another closes each day.

Key Responsibilities
Client Service & Front Desk Management
- Greet clients warmly and ensure a calm, welcoming environment.
- Manage phone, email, and in-person inquiries professionally and promptly.
- Handle new client intake, appointment bookings, and follow-ups.
- Liaise with GPs, referrers, and external stakeholders regarding referrals and reports.
Administrative & Reception Duties
- Process invoices, payments and Medicare claims.
- Ensure all client records and confidential information are handled accurately and securely.
- Manage incoming and outgoing correspondence, including GP referrals and reports.
- Follow The Dash – Health Hub's Standard Operating Procedures (SOPs).
Support for Clinicians & Clients
- Assist psychologists with client bookings, reports, and documentation.
- Participate in team meetings and continuous improvement initiatives.
- Build rapport with clients and clinicians while maintaining professionalism and confidentiality.
- Maintain a calm and professional approach in high-pressure situations, including when assisting distressed clients.
About You - Skills & Experience
We’re looking for someone who is:
Position Requirements
- An experienced receptionist in the healthcare sector (or has strong transferable customer service skills).
- Friendly, empathetic, and professional, with excellent written and verbal communication skills.
- Highly organised and detail-oriented, with the ability to manage multiple tasks efficiently.
- Tech-savvy, confident in using Practice Management Software and Microsoft Office suite.
- Able to work independently and as part of a collaborative team.
Highly Desirable (but not essential)
- Experience in a psychology or mental health practice.
- Familiarity with Medicare, DVA, CPFS and NDIS billing.
- Experience with Zanda (previously PowerDiary) or similar practice management systems.
- Additional tech skills: Building online forms, Excel proficiency, AI tools familiarity.
- Experience with social media marketing.
