As we continue to grow, we are looking for a proactive and detail-oriented Accounts and Administration Manager to join our team in Hobart.
About the Role
Reporting directly to the General Manager and Managing Director , this role is essential in ensuring the seamless operation of our administrative and financial functions. The ideal candidate will be responsible for managing accounts, invoicing, compliance documentation, vehicle registrations, and general office administration .
Key Responsibilities
- Providing prospective customer with quotes as per our business policies.
- Providing strong customer support and service.
- Accurately maintaining timesheets and logbooks for staffs including drivers and ensuring they are paid on time.
- Overseeing and reconciling daily transactions, general ledger entries, and financial operations using Xero accounting software .
- Reconcile company credit card statements and oversee toll and fine management.
- Manage accounts payable and receivable , processing and issuing invoices to customer. Following up on outstanding debtor accounts.
- Conducting end-of-month reconciliations.
- Preparing end of month profit and loss report.
- Process vehicle registrations on a quarterly basis and manage CTP and other insurance requirements for all jobs.
- Ensure compliance with TAS Transport regulations , filing electronic documentation as needed.
- Ensure accuracy and compliance in all registration documentation.
- Submit required documents to stakeholders, suppliers, and contractors .
- Maintain office supplies, and stationery orders .
- Handle incoming/outgoing mail and other general office tasks.
- Ensure accurate data entry and system updates .
- Assist with event coordination and support additional administrative tasks as required.
- Preparation of Business Activity Statement on a quarterly basis and liasing with external accountant for lodgement.
Requirements
- Strong attention to detail and excellent time management skills.
- Reliable with a strong work ethic and the ability to work independently .
- Valid Driver’s Licence is required.
- Experience with Microsoft 365 (Proficient skill in excel is mandatory), Xero, and Square is highly preferred.
- Ability to prioritize multiple responsibilities in a fast-paced environment.
Previous experience in accounting, administration, and customer service is advantageous.
Job Types: Part-time, Permanent
Pay: $35.00 – $42.00 per hour
Expected hours: 20 – 25 per week
