We are looking for a dedicated and highly organised Contracts Administrator to help us streamline our processes and ensure the smooth management of contracts and day-to-day administrative duties. Role Description:
As a Contracts Administrator, your role will include a wide range of responsibilities to support our real estate team and keep operations running smoothly. Your tasks will include but are not limited to:
● Daily reconciling of trust and general accounts
● Coding transactions in Xero
● Processing ingoing and outgoing invoices
● Collating and saving receipts
● Payroll management
● Drafting and managing employment contracts
● General record-keeping
● Organising open home kits for Saturdays
● Managing open home lists, run sheets, and booking in with sellers
● Processing contracts from "under contract" to settlement and ensuring all checklist items are completed
● Communicating updates to the team and sellers via WhatsApp and Messenger
● Drawing up contracts when offers come in
● Processing refunds and marketing drawdowns from trust accounts
● Preparing monthly board reports
● Handling general personal assistant duties
● Managing settlement handovers
Experience & Skills:
● Proven experience in contract administration (real estate experience is preferred)
● Strong attention to detail and accuracy
● Excellent written and phone communication skills
● Highly organised, with the ability to manage multiple tasks efficiently
● Proactive, professional, and customer-focused attitude
● Proficiency in Xero or similar accounting software is an advantage
● Ability to work well under pressure in a fast-paced environment
