The Opportunity
As the Office Manager, you will play a pivotal role in ensuring the smooth operation of their administrative processes and providing essential support to their clients and team members.
Your typical duties and responsibilities may include -
- Manage incoming and outgoing client communications, including emails, phone calls and mail
- Collaborate closely with accounting & bookkeeping team to assist with client onboarding, data entry and document management
- Provide administrative support to Directors, Managers and staff members as required
- Manage the Advisor & Admin email inboxes and ensure all client responses and internal requests are dealt with within our turnaround times
- Responsible for all ASIC & ATO payments, keeping a record of payments and reconciling the payments in the Xero file
- Responsible for debtor management from start to finish, ensuring client phone call and emails are actioned and keeping records of this
- Assist with the lodgement program management, complete lodgements, lodgement deferrals/extensions, keep up to date with all tax due date obligations
- Manage admin workflow, include setting up workflow, setting due dates/deadlines, delegating tasks and running daily/weekly workflow meetings
About you -
- Public Practice experience (5 years minimum)
- Minimum of 10 years’ experience working in Administration or similar role in a professional service environment
- Client focused
- Tech savvy and able to adapt to new systems
- Strong attention to detail
- Willingness to assist and support the team
- Self-motivated and eager to learn
