Summary:

We are seeking a highly organized and detail-oriented Business Coordinator to oversee the daily operations of our company. The ideal candidate will have experience in a varied administration role with a good knowledge of various systems and processes, excellent communication skills, and the ability to work as part of a team.

The responsibilities will span across different support functions within Shared Services, including Human Resources, Process and Technology, Finance, and Office Administration. This position entails a broad range of duties across all areas of the Shared Services function and will have interactions with all operational teams within the group.

Key Responsibilities and Duties

HR Administration and Systems

Maintain and update employee records and databases.

• Assist in the recruitment process, including posting job ads, scheduling interviews, and conducting reference and background checks.

• Manage the onboarding and offboarding processes for new hires and departing employees.

• Support training and development initiatives and track employee learning and development

• Respond to HR-related inquiries and provide support to employees and management.

• Oversee the day-to-day operation and provide input to the strategic direction of Employment Hero and associated processes

• Perform process improvement analysis on existing processes and systems and make recommendations for improvements

• Provide support for Employment Hero to all users, answering queries and maintaining support material

• Maintain awareness of updated Employment Hero information, disseminating this as required

• Monitor and report on Employment Hero data quality and compliance

System and Finance Administration

Assist in administering the following business systems and data sets

• Identify, develop, and implement improvement and cost out via automation of routine tasks and workflows

• Coordinating employee onboarding, induction requirements, offboarding and cross-boarding

• Administration of company group email accounts

• Management of data archiving routine and data storage

• Assistance to finance team in data processing and finance data sets.

Office and Fleet Administration

Manage day-to-day office operations, including managing phones, repairs and maintenance

• Coordinate and schedule meetings, appointments and events

• Maintain office supplies inventory and place orders as needed.

• Ensure the office is clean, organised and well-maintained.

• Manage relationships with external providers involved in office management

• Coordination and management of company car fleet including maintenance, repair coordination, administration such as registration, fuel card and toll management.

Skills and Experience

Technical

Previous administrative experience with exposure to HR administration preferred

 Systems knowledge and experience – Employment Hero (essential)

 Good Microsoft Office 365 (Sharepoint, Word, Excel) skills

Qualifications

Required

Minimum – VCE Senior School Certificate or equivalent

Desirable

Certificate IV in or higher in Business/Administration or similar

Attributes you will need to be successful in this role:

Strong organizational and time management skills

Excellent communication and interpersonal skills

Proficient in various business software including those mentioned above

Strong problem-solving skills
