We have an exciting an opportunity for a Financial Planning Administration Support to join our team. The role will be part time, with the possibility to work hours over 4 or 5 days.
The role is integral to the ongoing success of the business. The responsibilities are multifaceted, you will provide superior ‘Client Care’ to our valued Investment and Superannuation clients, along with quality back-office support to the Financial Planning and Administration teams.
MAIN DUTIES/RESPONSIBILITIES:
- Coordinate the booking of client appointments for financial advisers.
- Pre appointment preparation including:
– Checking Letter of Authority (LOA validity, update and process
– Source external super fund information.
– XPLAN – Update and check feeds are set up
– Forward insurance details to relevant staff
– Check required ID is current and update
– Check Binding Death Nomination is current for Asgard/Mason Stevens
- Post appointment:
– Update XPLAN with any changes to Fact Find
– Add/check next review date
– Save meeting notes in data base & XPLAN
– Prepare/send Fact Find for signing if required
- Scan, send and action any mail
- Binding documents and other documentation preparation as requested
- Prepare, send and process Ongoing Service Agreements and Fee Consents with platforms
- Liaise with adviser, client & platform to ensure smooth implementation of client’s application.
- Ensure all Compliance requirements are adhered to.
- Update policy information including addition of new clients, updated policy details and general notes in XPLAN.
- Update of client personal information on XPLAN and where required with Platform.
- Collection of policy history and record keeping of telephone conversations with platform and clients.
- General administrative support to Financial Adviser, adhere to their requirements in a prompt manner and provide quality of work standard.
- Implement efficiencies as processed evolve.
REQUIRED SKILLS AND QUALIFICATIONS
- High degree of flexibility, and excellent multitasking ability
- Proficiency with office applications, and aptitude for learning new software and systems
- Ability to maintain confidentiality of company information
- The ability to demonstrate and encourage teamwork
- The ability to build customer and stakeholder relationships
- Excellent communication and documentation skills
- Experience using XPLAN preferred but not essential
- Attention to detail and problem-solving skills
