As the Office Coordinator, you will be integral in ensuring the office runs smoothly and provide high level administrative and operational office support to senior leadership. This role requires strong organisational skills, professionalism and the ability to manage multiple responsibilities within a Pharmaceutical Manufacturing Organisation.

Key Responsibilities:

Office Administration

  1. Oversee day-to-day office operations, including facilities management, office supply inventory, and coordination with clients, vendors & visitors.
  2. Ensure meeting rooms, common areas, and office spaces are consistently clean, organised, and presentable, ahead of executive and stakeholder visits.
  3. Be responsible for a welcoming and professional experience for executives and stakeholders including meticulous attention to detail with food and refreshment supply and setup
  4. Coordinate general facility cleanliness and canteen operations, ensuring high standards and employee/client satisfaction.

Executive Support

  1. Work with existing Executive Support to provide backup administrative support for senior executives, including calendar management, meeting scheduling, and travel coordination.
  2. Assist with communications including drafting, editing, and formatting various reports, presentations, and correspondence as required.
  3. Assist with planning and running of meetings, including preparation of agendas, meeting materials, and minutes.
  4. Handle sensitive and confidential information with discretion and professionalism.
  5. Assist with special projects and initiatives, ensuring timely completion and alignment with organisational goals.

Office Management

  1. Serve as the first point of contact for visitors, clients, and stakeholders, ensuring a professional and welcoming environment.
  2. Manage phone systems, direct inquiries, and handle messages efficiently.
  3. Oversee incoming and outgoing correspondence, including mail, packages, and courier services.

To be successful you must possess:

  • A minimum of 3 years' experience in office administration, executive support or a related role, preferably in a regulated industry such as pharmaceuticals or healthcare
  • An eye for detail, be able to prioritise effectively and work well under pressure and to strict deadlines.
  • Excellent written and verbal communication and interpersonal skills

Additional Skills and Competencies required:

  1. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  2. Strong organisational, multitasking, and time-management skills with the ability to prioritise effectively.
  3. Professional demeanour and ability to interact with individuals at all levels of the organization.
  4. High level of discretion and the ability to handle confidential information with integrity.
  5. A degree in Business Administration or a related field is preferred
  6. Familiarity with Good Manufacturing Practices (GMP) and other relevant regulatory frameworks is advantageous.
