We are looking for a Workplace Assistant to help maintain a safe, efficient, and sustainable work environment for WSP employees, clients, and visitors. With around 1,200 employees across multiple offices in Queensland, this role will be based in our Brisbane office, with support extended to our other Queensland locations. This position plays a vital role in fostering a positive and collaborative team atmosphere.
Our team of workplace assistants works under the guidance of our QLD Workplace Manager, a dynamic and passionate leader committed to upholding high standards. The Brisbane team is friendly, supportive, and excited to welcome a new member. A key aspect of this role is being a collaborative team player with a natural ability to take initiative.
What you’ll do
As a member of our Workplace Team, you will foster a strong client, quality and safety culture as well as a culture of collaboration, knowledge sharing and mutual respect within your function. You will also:
- Support the Workplace Manager and team with various tasks, ensuring compliance with Safety, Health, Environment, and Quality (SHEQ) obligations.
- Maintain a safe, functional, and agile working environment, handling ad-hoc requests, and assisting with new starter packs, inductions, and staff lockers.
- Coordinate maintenance, repairs, and services, managing cleaning contractors, meeting room equipment, and supplies procurement.
- Provide technical AV support for internal and external events, and ensure a world-class client experience by managing inquiries and Front of House (FoH) collaboration.
- Oversee security systems, access, and alarms, handle staff and visitor passes, and ensure staff are trained as Wardens and First Aiders.
- Manage administrative tasks such as purchase orders, tenancy audits for SHEQ compliance, and courier/mail distribution, while identifying opportunities for service improvement.
- Cover Reception lunch breaks
About you
- Strong customer service focus with excellent communication and relationship-building skills
- A self-starter who can work independently, but also contribute proactively to a strong team environment.
- Strong organisational and time management skills with the ability to juggle multiple priorities
- Comfortable and confident with technology and able to learn processes and troubleshoot problems calmly and quickly.
- Sound knowledge of MS Word, Excel and Outlook
- Confident providing instruction and assistance to internal and external clients at all levels.
- Able to remain calm, focused and effective under close scrutiny and in time critical situations.
- Polished and professional presentation.
- Demonstrate adherence to confidentiality requirements and maintain a high level of ethical behaviour
- Experience in a similar role, specifically looking after AV set up would be highly regarded.
- Existing knowledge of video conferencing systems (i.e. Teams, Zoom etc) would also be highly regarded.
- In-depth knowledge of Microsoft 365 will be highly regarded (including Planner, Forms, and Power Automate)
