About the role:

  • The Executive Assistant will play a key role in supporting the Executive Director, System Design and Planning, and provides a pivotal point of contact for key stakeholders. The Executive Assistant will provide high-level administrative and executive management support, with particular attention to confidentiality and sensitivity.
  • The Executive Assistant will also provide broad coordination support across the branch, including supporting colleagues and teams within the branch with processes, procedures and business functions.
  • The role requires the ability to operate in a complex and dynamic environment. Attention to detail and teamwork underpin success in this role, as well as a demonstrated ability to communicate sensitively and effectively.

Accountabilites:

  • Identify processes, tasks and resources required to achieve a goal; identify more and less critical activities and operates accordingly, reviewing and adjusting as required; develop and implement systems and procedures to guide work and track progress; recognise barriers and find effective ways to deal with them.
  • Use formal and informal influencing relationships and decision making processes; appreciates the responsibilities, legal obligations and limits that apply to an organisation; actively seeks to understand the priorities and interests of various groups and key individuals.
  • Invite feedback on own behaviour and impact; use new knowledge or information about self to build a broader understanding of own behaviour and the impact it has on others; understand strong emotional reactions and seeks ways to more effectively manage them.

Qualifications / Specialist Expertise

  • Knowledge of and experience in DH administrative processes, procedures and systems.
  • Experience in using the Department's Our Briefings System, TRIM document management system and Share Point is desirable.
