Our Executive Support Team is currently looking for a receptionist to join the team at our Hills campus. This role will be responsible for the effective responses to enquiries made in person, by email or by phone so that the enquirer’s needs are responded to, and their impression of the Church is positively enhanced.
Other aspects of this role include:
Switchboard Operations
- Professionally receive incoming calls and triage calls with active listening & effective questioning. Take & relay messages.
- Manage and update the after-hours recording messages as required.
- Report any telephone equipment or queue faults to the IT department.
- Assist with other phone queues in peak seasons.
Inbox Management
- Manage Hillsong Church inbox, direct communication to appropriate recipients and respond to relevant inquiries promptly.
- Daily assess the inbox for any potentially urgent content first before responding to other emails, and action potentially urgent content emails appropriately.
- Maintain and update the Email Template document.
- Assist with other email inboxes as directed by oversight.
Reception & Administration
- Meet and greet staff and visitors in a welcoming & professional manner.
- Ensure the reception area is tidy and presentable, incl. desk, seating and delivery.
- Facilitate visitor sign-in and carpark inquiries and maintain security awareness.
- Responsible for the management of daily incoming & outgoing mail and deliveries.
- Responsible to manage lost property and order & maintain office supplies.
- Process invoices and other administrative support.
- Maintain knowledge of the emergency response policies & procedures.
Reception Team
- Give assistance and guidance to other reception staff regarding daily tasks, updates to processes & general information.
- Train reception staff as required by personal demonstration of daily tasks.
- Keep the reception manual updated.
- Send a weekly report on reception activities to the reception manager.
Ideally, the successful candidate will bring:
- Highly organised with the ability to juggle multiple tasks
- Excellent personal presentation skills
- Demonstrated advanced knowledge of Microsoft Office Suite
- Excellent understanding of system workflows and navigating system parameters
- Excellent written and verbal communication skills
