Job Summary:
The Executive Administration Officer is responsible for coordinating business service support and providing high-level administrative assistance to the Child, Family, Community and Executive Leadership Team. This role requires strong organisational skills, attention to detail, and the ability to multitask in a fast-paced environment.
This is an identified Position under Section 9A of the NSW Anti-Discrimination Act 1977
Responsibilities:
• Deliver comprehensive administrative and organisational support across the business unit and executive teams.
• Manage scheduling, appointments, and other support activities.
• Prepare a variety of complex reports, including attending meetings to gather information, conducting internet and other research, writing first drafts.
• Prepare a variety of documents, requisitions, purchase orders, and other correspondence relating to Facility management, including recurring compliance tasks.
• Oversee and coordinate the use of corporate software, including staff training for:
• Streamline processes on the Eleanor Duncan Intranet and ensure content is current.
• Organise and coordinate meetings, including notifying attendees, setting up, managing pre- and post-meeting correspondence, taking minutes, and ensuring follow-up actions.
• Collaborate closely with the Executive Assistant to the CEO and provide support as needed.
• Screen communications to the Executive Management Team, including telephone calls, mail, and email messages. Use independent judgment to prioritise and respond to communications as appropriate.
• Assist with HR requirements for the organisation.
• Drive continuous quality improvement across procedures and software systems.
• Work with the Work Health and Safety (WHS) / Quality Officer on WHS compliance and quality documentation requirements.
Essential Criteria
• Aboriginality – provide testament to your connection to the Darkinjung community.
• Possess a minimum of 3 years of secretarial/high-level administration experience.
• Demonstrate excellent verbal and written communication skills.
• Exhibit advanced proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and IT skills, with the ability to navigate across multiple systems.
• Have prior experience working with and supporting senior professionals/executives in a similar role.
• Be reliable and highly organised in managing tasks and responsibilities.
• Display meticulousness and strong attention to detail in all aspects of work.
• Maintain a high level of integrity and respect for confidentiality in handling sensitive information.
• Maintain a professional appearance and presentation at all times.
• Possess a current National Criminal Check, NSW Working with Children’s Check, and NSW Driver’s License.
Desirable Criteria
• Possess appropriate qualifications in Business or Management.
• Demonstrate a sound understanding of Corporate Governance and Financial Governance principles.
• Have knowledge of the non-for-profit sector, including its unique challenges and dynamics.
• Possess proficiency in data management techniques and tools.
