About The Role

We are currently seeking an enthusiastic and driven Receptionist/Office Administrator to join our Facilities team. Reporting to the Senior Manager, Facilities, Quality & Environment, the role is responsible for the daily management of the front desk and the coordination of front desk activities. The role also provides support to Konica Minolta's Leadership Team to assist with coordinating business functions, communications and managing business travel and expenses.

Requirements

  • Ensure the smooth and efficient running of the front desk
  • Manage all incoming calls and general telephone enquiries
  • Greet and advise visiting clients in a professional and courteous manner
  • Perform a variety of administrative and clerical duties such as filing and managing visitor carparking.
  • Arrange outgoing couriers' deliveries
  • Sort and distribute incoming/outgoing mail and courier deliveries
  • Schedule and coordinate Leadership Team meetings, business function, lunches and dinners.
  • Prepare written documentation and communications for Senior Managers
  • Coordinate international guest visits
  • Organise, book and manage business travel & expenses for the Leadership Team


Who are we looking for?

  • Demonstrated experience in a similar role.
  • Excellent customer service and interpersonal skills
  • IT literacy in MS Office suite (Excel, Word & Outlook in particular)
  • Excellent time management and organisational skills.
  • Ability to collaborate with internal and external stakeholders to build relationships, credibility and trust
  • Excellent written and verbal communication skills with the ability to build relationships at all levels both internally and externally.
  • The ability to maintain confidentiality and demonstrate a high level of integrity at all times
  • Excellent attention to detail.

As per Konica Minolta compliance procedures, the successful candidate will be required to undertake background checks.
