About your new Role:
As the Executive Assistant to one of our C-suite leaders, you'll play a vital role in supporting both their day-to-day operations and long-term strategic goals. Your primary focus will be ensuring seamless service and high-level support to help the Executive meet their business objectives. As you settle into the team, you'll become a trusted extension of your Executive, staying on top of key issues and governance matters, and making sure everything is carried through to completion.
This is a permanent, part-time position starting asap, based in our CBD office. You’ll be joining a close-knit group of Executive Assistants, working together to deliver consistent and high-quality outcomes.
- Proactively manage complex diaries and inboxes across multiple time zones, ensuring your executives’ time and requests are prioritised efficiently.
- Prepare agendas, format documents, and manage meeting materials to align with corporate guidelines, including taking minutes and tracking action items as needed.
- Organise regular travel and handle expense reconciliation.
- Serve as a trusted gatekeeper, managing confidential communications and information with discretion.
- Collaborate with internal and external stakeholders and coordinate with other Executive Assistants to meet shared deadlines.
- Assist with organising company-wide meetings and events, working as part of a supportive team.
About You:
You’re a highly organised and experienced Executive Assistant with a solid background supporting C-suite executives, ideally within superannuation, finance, or banking. You'll naturally step into the role, becoming a trusted advisor and key link between the executives and the rest of the business. Strong written and verbal communication is essential, and you’ll have a keen eye for detail when it comes to drafting correspondence. You’re proactive, able to anticipate challenges, and calm under pressure.
- Proven experience supporting C-suite executives in large, complex organisations, ideally in highly regulated industries.
- A proactive and strategic partner, not just task-oriented, who collaborates closely with executives to drive outcomes
- A solid understanding of governance, including Board and Executive Committee processes.
- Strong stakeholder management, consultation, and problem-solving skills.
- Professionalism, confidence and composure in a fast-paced environment.
- The ability to work independently and make sound decisions when the executives are unavailable.
- Proficiency in SharePoint, PowerPoint, and the Microsoft Office suite.
- Experience with Diligent Boards (or similar) is a plus.
