The National Film and Sound Archive of Australia (NFSA) is Australia’s audiovisual archive, telling the national story by collecting, preserving and sharing audiovisual media, the cultural experience platforms of our time. The collection itself dates back to 1935, making it one of the world’s oldest audiovisual collections. It is also one of the country’s most used cultural collections, with around 125 million views of collection content each year. The NFSA is in a period of significant change. Following increased Government investment, the institution is in a process of digital transformation, establishing the NFSA as Australia’s most dynamic and valued cultural organisation. We are rebuilding our curatorial workforce and developing the NFSA’s capacity to digitise our collection at scale – to preserve it for the future, to make sure it can be discovered, and to share it with all Australians.

We continue to work on developing a stable, secure and future-proof workforce across our four physical sites based in Canberra and Mitchell in the ACT as well as in Sydney and Melbourne.

About the Team

The Capital Works and Property & Security teams are responsible for managing the NFSA’s property infrastructure across its nine sites in Canberra, Sydney and Melbourne. This includes managing the Agency’s capital works program, property strategy, office and storage accommodation, essential services, facilities and security services.
In delivering their services, both teams actively engage with the Public Programs, Experiences and Exhibitions, Learning, Collection Management, Curatorial, Digitisation and Digital teams.

The Opportunity

The Capital Works Officer role sits within the small Capital Works team but will work across both the Capital Works and Property & Security teams, as required. This position plays a key role in contributing to the revitalisation of the NFSA including refurbishment and conservation projects, accommodation planning and small-to-medium scale construction and asset replacement projects.
The position will suit a collaborative and client focused person who is able to deliver on a variety of activities to competing deadlines. The ability to analyse issues, prioritise works appropriately and work under pressure is vital, as is a commitment to producing high quality and safe outcomes.

Please note: This recruitment process is intended to fill both current and future vacancies. While the position on offer is ongoing, a merit pool of suitable applicants may be established to fill similar ongoing and non-ongoing positions within the next 18 months.

Job Description

Key Responsibilities/Duties

Under limited direction, this position is responsible for delivering the following functions:

  • Support delivery of small-to-medium sized capital projects including property asset replacement, exhibition projects, office accommodation and general building refurbishments, through assisting with:
    • project planning, reporting, and delivery using the NFSA's project management tools,
    • best practice procurement to align with NFSA's policies and guidelines,
    • contract administration including project budget management,
    • effective stakeholder engagement with diverse internal colleagues, external service providers and contracts,
    • ensuring the safety of collections, staff and visitors at all times; and
    • risk planning and monitoring to comply with legislative requirements, Australian Standards, and the NFSA's WHS policies and procedures.
  • Contribute to the delivery of facilities services including responding to maintenance requests and managing contractors on site
  • As part of a small team environment, assist with other property and project support duties as directed.

Selection Criteria

The successful candidate will demonstrate their capacity against the following:

  1. Demonstrated experience in facilities and/or property management, delivery of capital projects.
  2. Demonstrated understanding of government procurement rules and processes.
  3. Demonstrated experience in the application of Work Health and Safety and risk management principles relating to buildings and facilities operations.
  4. Well-developed written, oral and interpersonal communications skills, including the ability to effectively liaise and negotiate with a variety of stakeholders.

Desired Skills and Experience
  • Experience in property management and project delivery in public, cultural or collecting institution environments

Note:

This role also includes:

  • Sharing 365/24/7 'on-call' duties with three other members of the Property & Security team. These duties can last for up to two weeks every two months - attracting additional allowances.
  • Availability outside of standard work hours in order to supervise out-of-hours work on site.
  • The requirement to have a current 'C' class driver licence.
