The Scheduling Training and Support Lead plays a vital role in ensuring the seamless and effective operation of scheduling functions across the organisation’s Community Care services. This leadership position is dedicated to optimising service delivery, enhancing client outcomes, and empowering teams to maintain the highest standards of care.

By working closely with program leaders, this role mentors, supports, and upskills Service Coordinators and Scheduling Assistants, fostering a culture of efficiency, compliance, and excellence. With matrix responsibility across multiple teams, the Scheduling Training and Support Lead ensures scheduling processes not only meet but exceed expectations, delivering exceptional client-focused services.

Key Responsibilities:

Defining and developing scheduling procedures to be embedded throughout the Community Care Program;

Providing mentoring, support, and training to Service Coordinators and Scheduling Assistants to ensure effective and consistent service scheduling across the organisation;

Reviewing and auditing service schedules to ensure alignment with organisational guidelines, legislation, and client demand;

Assisting with recruitment and training of Service Coordinators and liaising with relevant Team Leaders and managers to ensure adequate cover across sites in times of planned and unplanned leave;

Undertaking recurring reporting activities; and

Fostering an environment of high-quality customer centered service in a prompt and effective manner.

What We’re Looking For

✔ Diploma in Community Care Services (or other relevant qualification) or alternatively extensive experience in the Aged Care or Community Care Sector;

✔ Previous scheduling experience; and

✔ A current C or CA Driver’s License (QLD)

✔ Demonstrated experience in managing a team.

✔ Extensive expertise in best-practice scheduling within a Community Care setting, ensuring efficiency, compliance, and exceptional service delivery.

✔ Exceptional verbal and written communication skills, enabling clear, professional, and engaging interactions with staff, stakeholders, and clients.

✔ Strong relationship management skills, fostering collaboration with internal teams, program leaders, and external partners to drive continuous service improvements.

✔ Proven ability to coach, mentor, and train Service Coordinators and Scheduling Assistants, enhancing workforce capability and overall performance.

✔ Advanced proficiency in workforce analysis, forecasting, and planning, ensuring optimal staffing levels and seamless service continuity.

✔ In-depth knowledge of legal, regulatory, and organisational scheduling standards, including compliance with the SCHADS Award and industry best practices.

✔ High-level computer literacy, with expertise in client management systems and scheduling software to streamline operations.

✔ Strategic problem-solving abilities, identifying, analysing, and resolving scheduling and workforce challenges with proactive, solutions-focused approaches.

✔ Thrives in high-volume, fast-paced environments, adeptly managing competing priorities while maintaining service excellence.

✔ A strong commitment to client-centred scheduling services, ensuring responsiveness, efficiency, and the highest standard of care.
