Key Responsibilities:
Procurement Management:- Develop and prepare procurement documents (RFQs, RFTs, risk assessments, acquisition plans, purchase recommendations)
- Undertake supply market analysis and develop procurement strategies
- Ensure compliance with relevant procurement laws, policies, and directives
Contract Management:
- Manage contract administration activities and maintain contract documentation
- Review contracts periodically and mitigate risks or deficiencies
- Manage contractor/supplier performance and ensure compliance with contract terms
Financial Management:
- Track and report financial expenditure for procurement and contract activities
- Conduct expenditure analysis and identify cost-saving opportunities
- Ensure compliance with purchasing policies and accountability requirements
Reporting and Documentation:
- Prepare regular reports on procurement, contract, and project progress
- Maintain central registers for procurement, contracts, and software licenses
- Maintain accurate filing systems and records management
Stakeholder Management and Customer Service:
- Provide advice and assistance to stakeholders on procurement and contract matters
- Establish and maintain professional relationships with internal and external customers
- Contribute to identifying strategic issues and recommend appropriate actions
Teamwork and Collaboration:
- Maintain sound working relationships with team members and stakeholders
- Contribute to team meetings and the achievement of department objectives
- Support continuous process improvement activities within agreed scope and timeframes
