Position Purpose:

The Project Administrator provides administrative support for project management activities to ensure efficient execution and completion of projects. This role involves coordinating project documentation, tracking timelines and budgets, managing communication between stakeholders, and ensuring compliance with company and project standards.

Key Responsibilities:

Project Documentation Management

  • Maintain and organize project-related documentation, including contracts, schedules, and deliverables.
  • Ensure all project documents are accurate, up-to-date, and aligned with company standards.
  • Support the creation and revision of project plans and related documentation.

Scheduling and Budget Tracking

  • Assist with gathering of quality data from production processes.
  • Assist with preparation of reports summarizing inspection results, non-conformance issues, and corrective actions.
  • Support continuous improvement initiatives.

Audit Support

  • Act as a liaison between internal teams, clients, and external contractors.
  • Communicate project updates, issues, and changes in a clear and professional manner.
  • Facilitate project meetings and record minutes for distribution.

Compliance and Risk Management

  • Support the Project Manager in identifying and mitigating project risks.
  • Ensure compliance with company policies and regulatory standards in all project activities.
  • Maintain project records to prepare for audits and reviews.

Training and Continuous Improvement

  • Assist in onboarding new team members by providing training on project processes and tools.
  • Identify opportunities for process improvements within project administration.
  • Share best practices and lessons learned across project teams.

About You:

Required Qualifications & Experience

  • Strong administrative experience, ideally in project management or a related field.
  • Experience with longwall project administration highly regarded.
  • Proficiency with project management tools (e.g., MS Project, ERP systems).
  • High level of skill in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent verbal and written communication skills.
  • Strong organizational, analytical, and problem-solving abilities.
  • Ability to manage multiple tasks and meet strict deadlines.
  • Attention to detail and commitment to quality.
