Heather Stephenson Psychology is a well-established and compassionate psychology practice dedicated to providing exceptional mental health care to our community. We are perfectly situated along the beautiful Mandurah beaches and central town area.
The ideal candidate will work autonomously, with excellent organizational skills and a proactive approach to managing their workload efficiently/daily running of a psychology practice.
Responsibilities:
Administrative Oversight:
- Reception duties
- Manage day-to-day administrative operations of the psychology practice, including reconciliations, Cliniko, Xero
- Schedule & reschedule al appointments and maintain an organized client appointment calendar.
- Booking clients & managing calendar
- Ensure a safe and clean working environment.
- Address facility-related issues promptly.
- Manage office supplies, equipment, and maintenance needs.
Communication & Coordination:
- Act as the primary point of contact for patients, addressing inquiries and scheduling appointments.
- Ensure a welcoming and supportive environment for clients during their interactions with the practice.
Billing and Financial Management:
- Manage billing processes, including invoicing and payment tracking.
- Collaborate with billing services and insurance providers to resolve financial issues.
- Process invoices, monitor accounts payable, and reconcile financial records.
Confidential Record-Keeping:
- Maintain and update confidential patient records in compliance with privacy regulations.
- Assist in the implementation of electronic health records (EHR) systems.
- Efficiently use Cliniko software (we can offer training to the successful candidate)
Skills & Experience
- Experience in an Office Administrator role (preferably within a psychology or medical clinic)
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficient in using Microsoft office 365, CANVA, Xero & Cliniko
- Accurate touch typing and IT skills
- Experience in psychology, healthcare administration, or a related field.
- Knowledge of NDIS, medical and insurance processes desirable.
