Receptionist / Administration Officer

True North Psychology is seeking a warm, dynamic and details-focused Receptionist & Administration Officer to join our well-established psychology practice. Due to changes in our team’s availability, a position for 8-10 hours per week with additional holiday cover is now available. The role will be casual with the option for increased hours in the second half of 2025.

This role is ideally suited to someone looking to gain insight into psychology in private practice, particularly a first or second year undergraduate psychology student with administration experience.

True North Psychology is a private psychology practice in the leafy-green, inner-city suburb of Wilston, Brisbane. We are a team of highly dedicated health professionals and administrators known for our commitment to quality client service whilst remaining true to our core values.

About the Role

Our experienced administration team currently supports 18 psychologists and psychotherapists, 6 days per week.

The administration roster covers Monday to Saturday. Availability for a rotating fortnightly roster is essential, with Monday availability required. Shift length is generally 3-5 hours, but can be up to 8 hours. In addition, this role will also provide assistance in covering annual leave and sick leave.

This role will require you to:

  • Welcome clients to the clinic with a warm manner
  • Have a solution-focused, collaborative approach
  • Keep accurate records with a strong eye for detail and data entry skills across multiple software platforms
  • Be skilled in prioritising a busy workload
  • Demonstrate excellent communication skills through responding to verbal and written enquiries about the services offered, inclusive of phone calls
  • Ensure a high level of both accuracy and confidentiality with client information
  • Assist clients and clinicians to manage appointment bookings in the practice management software
  • Manage and accurately process accounts, including EFTPOS, DVA, WorkCover, NDIS, Medicare and private health funds
  • Effectively and calmly multi-task
  • Print / photocopy / scan / fax documents
  • Prepare client and referrer letters
  • Complete light cleaning duties

Full training, support and ongoing mentoring from the senior administration officer, practice manager and wider team is provided.

Skills and Experience

  • Excellent interpersonal skills in interactions with colleagues and clients
  • Completion of a course in medical/health administration or previous experience in medical/health administration would be an advantage
  • Experience with Mac computers, practice management software (e.g., Halaxy, Medical Objects), EFTPOS, Microsoft Word and Excel
  • Strong attention to detail (critical)
  • Professional attitude and presentation
  • Understanding of the necessity for confidentiality
  • Demonstrated ability to problem solve, prioritise, multi-task, work under pressure and acquire new knowledge quickly
