Primary objective
Provide high level administrative support to the Senior Director and Employee Relations team; and undertake general
research, prepare written correspondence relating to policy and legislative advice to client agencies and members of the
public on employment related matters.
Context statement
The Office of the Commissioner for Public Employment is a central agency within the NTPS with sector wide responsibility
for developing the NTPS employment framework and delivering industrial relations services.
Key duties and responsibilities
1. Act as a central triage point and manage the workflow of the division efficiently to ensure timely responses and systems
and processes are functioning appropriately.
2. Provide administrative support and advice to staff in the unit regarding timelines, protocols, document content and
presentation and operation issues and assist in the coordination and review of briefs, allocation of requests and
correspondence, including policy and briefing papers, cabinet submissions, letters and emails.
3. Undertake research, prepare routine correspondence and provision of less complex advice as required.
4. Develop and maintain effective working relationships with other OCPE work units and NTG government agencies to
ensure clear exchange of information, cooperative preparation of documents and timely responses to requests.
5. Coordinate diaries, arrangements for meetings, workshops and training sessions held internally and/or externally,
including organising travel arrangements and preparation of briefing packages.
6. Manage a range of procurement functions including purchasing, liaising with suppliers, organising payment, processing
credit card transactions and reconciliations.
Selection criteria
Essential
1. Sound organisational skills with a high degree of accuracy and attention to detail and demonstrated experience providing
high quality administrative support including managing diaries, emails and organising travel.
2. High level of interpersonal and written and oral communication skills, with ability to liaise positively and effectively with
clients from diverse culture at all levels, to act with tact and diplomacy and maintain confidentiality.
3. Self-motivated, adaptable, and ability to work well both within a team and independently to deliver timely and quality
outcomes with demonstrated ability to prioritise workload, meet deadlines.
4. Understanding of government processes and systems, including general finance and procurement processes or the ability
to quickly acquire.
5. High level skills in the use of information technology such as Microsoft Word, Excel, Outlook, records management and
mainframe systems or similar systems.
Desirable
1. Certificate III in Business, Diploma in Human Resources, or similar qualification.
