Description:
The Corporate Secretary is a newly created role that will be responsible for providing high level administrative support to the Office of the CEO and the future VicGrid Board of Directors. It will be crucial in ensuring efficient operations with respect to the Board, including facilitating induction, engagement, compliance, corporate coordination and briefings.
This role will involve building systems and processes to enable proactive and constructive communication between the Chair, Directors and the executive; compliance with governance practices; and the smooth operation of Board activities.

What you will deliver
• You will lead the Office of the CEO's activities to establish and induct a new Board of Directors and develop and implement systems, protocols and process that will support its effective functioning.
• You will provide high level secretarial and administrative support to Directors including the coordination and preparation of sensitive documents and reports, committee management, taking meeting minutes, arranging meetings, managing invoices and other general tasks as required.
• You will support effective and efficient information management, including monitoring shared secretariat email inboxes, maintaining records and managing board member communications by sending reminders, update and relevant information and correspondence.
• You will have the ability to maintain productive working relationships, working pro-actively both independently and as part of a team, with the ability to maintain confidentiality and apply judgment.
What you will bring
• Previous experience as a Company, Corporate or Board Secretary is essential along with demonstrable knowledge of Board obligations and governance requirements in a government context.
• Demonstrated ability to manage team records ensuring compliance with legal procedures and regulatory requirements, document management systems and processes, financial records and / or procurement processes (experience in utilising ECM, or other electronic records management systems).
• Proven ability to provide secretariat support to executive-level forums and meetings and a discretion in handling sensitive operational information.
• Possess advanced skills in MS 365 Office applications (Word, Excel, PowerPoint, OneNote, Outlook, SharePoint) is required.
