The Position
We are seeking an experienced Assistant Practice Manager / 2IC to support daily operations across both clinics. This role is pivotal in ensuring smooth clinic workflows, leading our administrative team, and maintaining high standards of patient care. This is an ongoing part-time/ full-time position.

Skills and Experience:
- Proven experience in medical administration and team leadership
- Familiarity with Medicare Benefits Schedule, Best Practice, Automed and HotDoc (or similar programs)
- Experience managing medical accounts and using accounting software (e.g., Xero)
- CPR certification (or willingness to obtain)
- Strong knowledge of general practice operations and healthcare compliance
Key Responsibilities:
- Clinic Operations: Manage daily operations to ensure efficiency and exceptional patient care
- Financial Support: Assist with billing, payroll and accounts
- Team Leadership: Support recruitment, induction, training, and performance management
- Quality & Compliance: Ensure regulatory compliance
- Patient Experience: Address patient feedback with professionalism and empathy
- Collaboration: Work closely with doctors and the management team to optimise clinic performance
- Administration: Oversee scheduling, billing, invoicing, and medical record management
- Facility Management: Ensure the maintenance and smooth functioning of clinic facilities
People & Performance Management:
- Lead and support a team of receptionists, doctors and nurses.
- Manage rosters, timesheets, and staff schedules
- Conduct probation reviews, annual performance evaluations, and support professional development
- Foster a positive, proactive work environment aligned with clinic values
