About the role

Are you a detail-oriented, proactive, and organised individual with a passion for aviation? If so, we have an exciting opportunity for you! We're seeking an Executive Assistant to provide essential support to the General Manager within the Experience Co Aviation division, covering Australia and New Zealand. While primarily based in Shellharbour Airport, you'll have the chance to spread your wings, with shifts occasionally required at other Experience Co locations across the region.

The role is primarily Monday to Friday, 8:00 am – 4:00 pm, with occasional out-of-hours work if urgent matters arise, as directed by the General Manager Aviation.

Flexible work arrangements may be available for the right candidate.

As the Executive Assistant, you'll be at the heart of the Aviation Division, ensuring everything runs smoothly.

Your key responsibilities include:

  • Managing the GM Aviation's daily schedule, meeting preparations, and agenda distribution.

  • Keeping track of task deadlines and providing regular updates to the GM.

  • Conducting research to support the GM's work.

  • Cultivating strong relationships with internal and external stakeholders for coordinated efforts.

  • Coordinating meetings, conferences, and client visits.

  • Ensuring all documentation is compliant with company policies and regulations.

  • Managing information flow effectively and accurately.

  • Proactively reviewing the GM's diary, meetings, and travel plans to identify potential issues.

  • Preparing meeting papers, agendas, minutes, and reviewing supporting documents.

  • Crafting presentations, Word and Excel documents, and coordinating lease agreements and business documentation.

  • Promoting a high-performance culture and excellent service delivery.

  • Managing the office environment, including liaising with contractors and supplies.

  • Handling the GM's email account and event coordination.

  • Making travel arrangements within the aviation BU.

  • Managing divisional credit cards and expenditure reconciliations.

  • Creating staff newsletters and internal communications

About you

To secure your place in our high-flying team, you should:

  • Have at least 2 years of experience supporting senior managers.

  • Be a motivated self-starter with a professional attitude and an unwavering work ethic.

  • Thrive in a dynamic, fast-paced environment, providing top-notch executive support.

  • Possess exceptional communication skills, both written and oral, to interact with a wide range of stakeholders.

  • Be a master organiser and problem solver, capable of juggling multiple tasks and adapting to changing requirements.

  • Exhibit initiative, work well under pressure, meet deadlines, and excel independently or as part of a team.

  • Be computer-savvy, especially with Microsoft Office, and skilled in managing workflow processes.

  • Demonstrate expertise in diary management, board paper preparation, and complex travel arrangements.

  • Upholding a high level of confidentiality and integrity.
