The Role
We have an exciting opportunity for an experienced Executive Assistant to join our growing team. Based in our Perth (Burswood) Office or Bunbury Head Office , this role provides high-level administrative support to the Executive Team and broader IPS team.
Key Responsibilities
- Provide effective diary management and administrative support to Executives, prioritising tasks based on importance and impact.
- Work in a fast-paced environment , demonstrating proactive thinking, high-level judgement, and strong decision-making skills while managing multiple priorities.
- Handle day-to-day administrative duties to enhance the efficiency and effectiveness of Executives.
- Prepare and manage written communication , including reports, presentations, spreadsheets, and correspondence.
- Perform core administrative tasks , including records management, meeting coordination, drafting agendas, taking minutes, and monitoring action items.
- Assist with event coordination , including the annual staff retreat , conferences, and other corporate events.
- Organise gifts and celebrations as required.
- Manage travel and accommodation bookings and oversee community engagement logistics such as venue hire and catering.
- Maintain and process leave records, reimbursements, and mileage forms .
- Develop and implement consistent administrative processes .
- Ensure office presentation and cleanliness and manage office supplies.
- Coordinate office repairs and maintenance as needed.
- Provide general administrative support across the organisation.
- Balance project delivery requirements with EA/PA responsibilities.
About You:
To be successful in this role, you will have:
- A minimum of 3 years’ experience in an Executive Assistant (EA) or Personal Assistant (PA) role.
- Advanced Microsoft Office skills , including Word, Excel, and PowerPoint.
- Excellent organisational and multitasking abilities , with strong attention to detail and accuracy.
- Highly developed written and verbal communication skills , with the ability to produce professional correspondence aligned with the company brand.
- Strong interpersonal skills to engage effectively with team members, clients, and stakeholders.
- A proactive and solution-driven approach , with a focus on continuous improvement.
- A high level of professionalism, discretion, and confidentiality .
- The ability to work autonomously while exercising sound judgement in daily business activities.
