In this position, you'll not only provide essential secretarial and administrative support but also act as a trusted resource, guiding and advising the North Barrier Regional Clubs.

What You'll Do:
- Frontline Engagement: be the face of the Branch, greeting visitors and efficiently managing incoming calls.
- Support at Board Meetings/Committees: capture key moments and decisions by taking accurate minutes at meetings.
- Professional Correspondence: draft and distribute important communications on behalf of the Branch President and other officers, ensuring messages are clear and timely.
- Document Management: prepare and circulate letters, memorandums, circulars, agendas, and reports to keep stakeholders informed and engaged.
- Financial Support: assist the Branch Director of Finance & Planning in preparing financial reports and ensuring audit requirements are met.
- Event and Function Coordination: organise all aspects of Branch meetings, presentations, and functions/dinners in the region, ensuring smooth execution from start to finish.
- Surf Sport Event Preparation: prepare and distribute event-related documents, such as nominations, bulletins, marshalling sheets, timetables, and result summaries.
- Surf Sport Event Administration: provide pre- and post-event administrative support, ensuring everything runs seamlessly.
- Regional Office Manual Maintenance: keep the Regional Office Operations Manual up-to-date, ensuring processes and procedures are always aligned with current needs.
- Calendar Management: regularly update the SLSQ Calendar with relevant Branch event dates to ensure accurate scheduling.

Reporting: collaborate with other regional staff and provide regular reports on activities and issues to the Regional Manager, ACM, State Administration & IT Committee, and Branch Council and Executive Committees.
- Work Cover Assistance: help facilitate the completion of Work Cover claim submissions as needed.
- Annual Report Compilation: coordinate and circulate the Branch Annual Report for your region, showcasing achievements and milestones.
About You:
- Working with Children Blue Card or the ability to obtain one.
- A strong understanding of Surf Lifesaving or similar community/volunteer activities, with experience working alongside volunteers.
- Proven success in providing high-quality administrative support and assistance to various stakeholders.
- High level of proficiency in Microsoft Office programs, including Word, Excel, Outlook, and PowerPoint.
- Demonstrated ability to submit clear, accurate administrative reports within deadlines.
- Excellent verbal and written communication skills with an ability to foster positive relationships.
- Acute attention to detail and exceptional organizational skills.
- Outstanding time management abilities, with a keen ability to prioritize multiple tasks and meet deadlines.
- Ability to work both independently and as part of a collaborative team, providing excellent support at all times.
- The flexibility to work 4-5 weekends per year for carnivals and monthly attendance at meetings (on occasion after work hours).
- Familiarity with MYOB accounting software (Highly Desired).
- Experience with SLSA’s Surfguard membership database (Highly Desired).
