MJD Recruitment are currently seeking a capable, proactive and detail-oriented Administrative Assistant to join a dynamic clinical and forensic psychology practice. This is a full-time, in-office role where your contribution will directly support the efficiency and smooth running of the practice.
Your Responsibilities :
- Managing incoming phone calls and enquiries.
- Diary management and coordinating appointments for our team of psychologists.
- Handling incoming emails, sending templates and confirmations.
- Collating, formatting and managing clinical documentation.
- Following up on referrals and coordinating court dates and reports.
- Managing client intake documentation, consent forms, and payments.
- Acting as the first point of contact at reception.
- Processing invoices and accounts reconciliation.
- Using practice management software.
- Archiving, maintaining client records and supporting broader administrative needs.
- Assisting with ad hoc tasks, including marketing support and general office coordination.
About You :
- Previous administrative experience in a healthcare, psychology, legal or related setting.
- A high level of maturity, discretion, and emotional intelligence.
- Excellent verbal and written communication skills.
- Strong attention to detail and the ability to multitask in a busy environment.
- Confidence managing sensitive and confidential information
- A friendly, professional, and proactive attitude.
- Experience with Xero (advantageous, but not essential)
