APS4 Executive Assistant role
Part time role
12 month initial fixed term contract
Adelaide location
APS experience is desired
Key responsibilities
- Manage Microsoft Outlook diaries and proactively manage all appointments and workflows, arranging/co-ordinating internal and external meetings for the relevant team members as required, and ensuring the attendees have appropriate materials to facilitate preparation in advance of meetings
- Attend meetings as required, take minutes/notes, and liaise with stakeholders on follow-up actions
- Coordinate domestic (and international travel arrangements if required), including flights, accommodation, transfers, visas, and detailed itineraries
- Manage, monitor, and reconcile expense claims, purchase claims and invoices
- Assist with finalising and generating reports and presentations, including document formatting
- Collaborate with internal stakeholders to provide timely workplace support
- Respond to and follow up on enquiries from key stakeholders, including Government and public sectors, financial services and business contacts
- Maintain effective operation of meeting rooms including videoconferencing and teleconferencing links, greeting visitors, and arranging catering as required
- Provide back-up to the other Executive Assistants and other administration support as required.
Successful Candidates
- Proficiency with MS Office, including Outlook, Word, Excel, PowerPoint, as well as other systems
- Proven ability to build and maintain strong, trusting relationships with internal and external stakeholders, fostering collaboration and ensuring effective communication
